Position: Donor Relations Officer

Reports to: Sr. Director, Development

FLSA Classification: Exempt

Department: Financial Resources Development (FRD

Position Summary: The Donor Relations Officer plays a central role in delivering thoughtful, consistent, and high-quality experience for the Federation’s most committed donors. This position focuses on stewardship, project management, and execution across key donor engagement initiatives, ensuring that donors feel valued, recognized, and connected to the impact of their philanthropy.

The role requires strong organizational skills, attention to detail, and the ability to coordinate across teams to support complex projects, donor communications, and long-term stewardship strategies

1. Tribute Journal Leadership
• Serve as the lead project manager for the Federation Tribute Journal, a key annual initiative tied to Celebrating Philanthropy
• Manage all aspects of execution, including donor outreach on submissions, follow-up, coordination with Marketing and Development, and ensuring deadlines are met
• Support achievement of annual revenue goals through strong organization, communication, and follow-through

2. Community Visionaries Program Management ($1M+ Society)
• Serve as the internal lead for the Community Visionaries program, the Federation’s $1 million+ giving society
• Ensure accuracy and integrity of all public listings, including donor approvals, publications, events, and digital displays
• Maintain proper donor coding and records in the CRM and serve as a knowledgeable internal resource on donor history and recognition
• Coordinate execution of the Community Visionaries recognition and stewardship framework, including event recognition, publications, and individualized donor experiences
• Support delivery of structured stewardship touchpoints, including impact updates, milestone recognition, and curated engagement opportunities

3. Lead Stewardship Officer for Assigned Donors
• Serve as the primary internal coordinator for a portfolio of long-standing, high-value donors, including Community Visionaries and other major donors in a permanent stewardship phase
• These donors have made significant commitments and are not actively being solicited, but require thoughtful, consistent stewardship and engagement
• Ensure a seamless donor experience by coordinating invoices, acknowledgments, communications, and event engagement in partnership with Development, Finance, and other internal teams
• Support and supplement relationship management efforts led by gift officers and lay leaders, ensuring continuity, responsiveness, and attention to detail

4. Multi-Year Donor Stewardship & Coordination
• Conduct regular reviews of multi-year pledge donors to ensure all commitments are accurately tracked and stewarded
• Partner with Development to support long-term planning, including preparing for future engagement and potential re-solicitation as donors approach the completion of their commitments
• Ensure coordination across teams so that donor communications, recognition, and stewardship remain consistent and well-timed throughout the lifecycle of each pledge

5. Bespoke Donor Communications & Special Projects

• Coordinate with Development, Marketing, and program teams on customized communications for six-figure and above donor engagement

• Draft and develop materials directly, including presentations, proposals, impact summaries, and announcements, leveraging approved generative AI tools as appropriate

• Partner with Marketing to ensure alignment with Federation brand, voice, and style guide standards

• Ensure all materials are timely, accurate, and aligned with donor intent

• Support preparation and follow-through for key donor moments

Qualifications

• 3–7 years of experience in donor relations, customer service, hospitality, alumni relations, or related field

• Strong interpersonal and communication skills

• Ability to build trust and rapport

• Excellent organizational and follow-up skills, with strong attention to detail

• Nonprofit experience preferred

• Excellent organizational skills and attention to detail, with strong follow-through

• Comfort drafting written communications and working with digital tools, including approved generative AI tools

• Ability to manage multiple projects and coordinate across teams effectively

Compensation

Federation benchmarks compensation for new hires based on the role, level, and geographic location. Final compensation is determined by a variety of factors, including relevant experience, skills, and education or training.

Salary range: Starts at $75,000.00
