Position Overview

The Jewish Federation of Greater Washington seeks a detail-oriented and reliable Events Coordinator to support the planning and execution of events that bring our community together and advance our work.

This role ensures logistics, materials, and setup are prepared and delivered on time by coordinating details and supporting on-site execution.

This is an ideal opportunity for someone who is hands-on, takes initiative, and follows through to ensure nothing is missed.

Key Responsibilities

  • Coordinate event logistics, materials, and setup from planning through execution
  • Track details and ensure all elements are ready ahead of deadlines
  • Prepare materials, run-of-show elements, and documentation
  • Assist with vendor coordination and on-site logistics
  • Execute setup, coordination, and breakdown
  • Transport and manage event materials and equipment
  • Ensure all components are in place and executed without gaps
  • Identify and address issues early to keep execution on track
  • Coordinate with internal teams and external partners to ensure event readiness

Collaboration & Integration

  • Work across the Communications team to ensure all materials are prepared and delivered on time
  • Coordinate with internal stakeholders and external partners (e.g., venues, vendors, security) to confirm event readiness
  • Support cross-team communication to ensure all contributors are aligned and prepared for execution

  • Events are executed smoothly and reflect Federation’s role in bringing the community together
  • Materials and logistics are ready ahead of deadlines
  • Setup and execution run smoothly
  • Details are tracked and completed without prompting
  • Issues are identified and resolved quickly
  • Materials are clear and easy to use

Qualifications

  • 1–3 years of experience in event coordination, operations, or a related role
  • Strong organizational skills with the ability to manage multiple details in a fast-paced environment
  • Comfortable working across multiple venues and event environments
  • Clear, professional communication skills
  • Proficiency with Microsoft Office (Word, Excel), Teams, and SharePoint, and comfort using project management platforms such as ClickUp
  • Familiarity with Jewish customs, traditions, and community life, or a willingness to learn, is preferred

Other Requirements

  • Able to work evenings and weekends based on event schedule
  • Able to lift, carry, and move event materials and equipment
  • Able to stand and remain active for extended periods
  • Valid driver’s license and reliable access to a vehicle to transport materials and equipment across Northern Virginia, DC, and Montgomery County; mileage reimbursement provided for work-related travel
