Job Description:
Jewish Federation of Greater Vancouver is seeking a highly organized and detail-oriented Assistant, Foundation Administration and Communications to support the day-to-day administrative, communications, and data management functions of the Jewish Community Foundation.

Position Summary:
The Assistant, Foundation Administration & Communications, plays a key role in supporting the operational, administrative, and communications functions of the Jewish Community Foundation. This position ensures accurate and timely fundholder communications, supports marketing and reporting initiatives, maintains high-quality data management within the CRM, and provides essential administrative support for meetings, events, and grantmaking activities. The Assistant works collaboratively with Foundation staff and colleagues across the organization, contributing to a positive donor experience and the effective stewardship of philanthropic relationships.

Job responsibilities:
Fundholder & Organizational Communications
• Draft, edit, and send letters to fundholders and charitable organizations. Maintain templates and ensure consistency. Log all communications in CRM and appropriate files.

Support Marketing & Communications
• Assist with the annual report and other publications as required. Collect and organize content, prepare mailing lists, and contribute to newsletter and website updates.

CRM / Microsoft Dynamics (Asset)
• Collaborate with the Foundation Specialist to ensure timely distributions, grants, and contributions. Maintain clean and accurate data, generate lists and reports as needed.

General Administrative Support
• Record minutes at Governors' meetings.
• Assist with events logistics as required.
• Prepare and file mailing materials, manage inventory of Foundation stationery (letterheads, envelopes, tax receipts, cards), maintain accurate mailing lists, and archive mailed items.
• Process tribute gifts, generate and send tribute cards promptly.
• Support producing materials for the Unrestricted Grant Program.
• Provide additional administrative support and complete other related duties as assigned.

Qualifications:
• Bachelor’s degree in communications, administration, nonprofit management, or a related field, or an equivalent combination of education and relevant experience
• Excellent oral and written communication skills, with the ability to communicate clearly and professionally with diverse stakeholders
• Experience with Microsoft Dynamics (CRM) and proficiency in Microsoft Office; familiarity with Adobe, Canva, MailChimp, and other relevant digital tools is an asset
• Strong organizational, administrative, and computer skills, with the ability to manage multiple tasks and priorities effectively
• Demonstrates a helpful, positive, and service-oriented attitude when working with fundholders, donors, and colleagues

Details and How to Apply:
• Salary range: $50,000 to $53,000 per annum
• Schedule: Full-time, Permanent - based on a 35-hour work week
