Job Description:
Jewish Federation of Greater Vancouver is seeking a highly organized and detail-oriented Security Manager, Administration & Operations to support the operational, financial, and administrative functions of the Community Security portfolio. This role is critical to ensuring the effective delivery of security initiatives that protect and strengthen the Jewish community.

Position Summary:
Reporting to the Executive Director of Community Security, the Manager, Security Administration & Operations provides comprehensive administrative, financial, and grant-related support to the Community Security Department. The role supports day-to-day operations, budgeting and financial tracking, grant writing and reporting, vendor coordination, and confidential record management. The successful candidate will be proactive, discreet, highly organized, and comfortable managing multiple priorities while working closely with internal staff, external partners, and funders.
Job Responsibilities:
Administrative & Operational Support
• Provide administrative support to the Executive Director of Community Security and the Security Department team
• Coordinate schedules, meetings, agendas, and follow-up items, including preparing materials and taking minutes as required
• Maintain organized and confidential records, files, and databases related to security operations and initiatives
• Act as a point of contact for internal departments, partner agencies, vendors, and community stakeholders on administrative matters
• Support onboarding and administrative processes for security staff and contractors, as required
Financial Administration & Budget Support
• Assist with the development, tracking, and reconciliation of departmental budgets
• Monitor expenses, process invoices, submit and reconcile expense claims, and ensure accurate financial records
• Work with the Finance Department to support reporting, forecasting, and compliance with Federation financial policies
• Track funding allocations and expenditures related to grants and security initiatives
Grant Writing & Reporting
• Research funding opportunities relevant to community security and risk mitigation
• Assist with writing, editing, and submitting grant applications in collaboration with the Director and senior staff
• Track grant deadlines, requirements, and reporting obligations
• Prepare interim and final grant reports, ensuring accuracy, completeness, and compliance with funder guidelines
Program & Project Support
• Provide administrative and logistical support for security-related programs, training sessions, and initiatives
• Coordinate logistics for meetings, training sessions, and briefings, including registrations, materials, and venue arrangements
• Support data collection and reporting related to security activities, participation, and outcomes
• Maintain databases, spreadsheets, and CRM records related to security programming and funding
Qualifications:
• Certification in a relevant field, a bachelor’s degree, or a minimum of 3 years of equivalent administrative or operational experience
• Demonstrated experience in administrative support, budgeting, and financial tracking, preferably in a nonprofit, community, or public-sector environment
• Experience with grant writing, grant administration, or funding reporting is a strong asset
• Exceptional attention to detail and ability to manage sensitive and confidential information with discretion
• Strong organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously
• Excellent written and verbal communication skills
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
• Comfort working both independently and collaboratively in a team-oriented environment
• Flexibility to work occasional evenings or weekends as required
• Alignment with Federation’s mission and values
• Knowledge of Blackbaud CRM and/or other database tools is an asset
• Access to a vehicle is an asset
• This is a full-time position that requires office presence.

Details and How to Apply:
• Salary range: $68,000 - $73,500
• Schedule: Full-time, based on a 35-hour work week
