Jewish Federation of Greater Vancouver is seeking a motivated Senior Administrative Coordinator to assist our Executive Team. This is an exciting opportunity to contribute your skills to a mission-driven organization that strengthens the Jewish community locally, nationally, and globally.

Position Summary:
The Senior Administrative Coordinator will work closely with the Executive Team to help accomplish numerous impactful initiatives in support of furthering the organization’s mission. This position is responsible for the day-to-day support of the Executive Team, including facilitating effective relations with external and internal stakeholders, managing the Executive Team’s comprehensive schedule, supporting the various committees, as well as conducting a variety of administrative activities in support of the Executive Team and organizational operations. The successful candidate will be highly organized, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment.

Job Responsibilities:
- Manage the calendars of the Executive Team.
- Meeting coordination for the Executive Team, including agenda preparation, taking meeting notes, sending meeting reminders, and tracking follow-up items as required.
- Monitor emails for urgent or important communications.
- Collate financial approvals with the Executive Team’s direct reports, to ensure timely approval.
- Coordinate national and international travel for the Executive Team, including booking accommodation, flights, and creating detailed itineraries.
- Work with the Executive Team to develop and execute detailed travel itineraries for VIP visitors and staff to Vancouver.
- Complete and submit financial reconciliations and vouchers for the Executive Team’s expenses and miscellaneous programs.
- Providing logistical and administrative support for the running of committees, including taking minutes, developing packages and coordinating meetings.
- Provide support for miscellaneous programs and events.
- Receive and screen incoming communications for the Executive Team, including mail, telephone calls, walk-in visitors, and emails as required.
- Track due dates for the Executive Team for various tasks/work required from them, for example, grants, marketing materials, internal processes, etc.
- Maintain records of necessary communications.
- Communicate content for Shabbat message with Marketing.
- Proactively identify opportunities to advance productivity, efficiency and implement processes and technology improvements.
- Work with other members of the Executive Office to provide support for various events and meetings.

Qualifications:
- Strong customer service skills and ability to engage with people in a calm, professional and empathetic manner, both in person, over the phone and via correspondence.
- Demonstrated ability to support senior-level executives and administrative/business training.
- Strong sense of professionalism and ability to maintain strict confidentiality around sensitive and private matters that may be related to the role of the CPO.
- Demonstrated advanced computer skills (Windows operating system, Microsoft 365, Zoom, PDF editor, CRM database, etc.)
- Highly organized with exceptional project planning and management skills.
- Ability to work within a fast-paced environment with a large volume of work and frequently competing priorities.
- Willingness to attend evening/weekend meetings and events as needed.
- Capacity to display tact, discretion, and confidentiality at all times.
- Ability to work independently, exercising sound decision-making and initiative, as well as effectively contributing as part of a team.
- Positive attitude and a desire to bring value to the organization through this role.

- Schedule: Full-time, based on a 35-hour work week
