Position Summary

The Enrollment & Student Systems Manager maintains and optimizes the full lifecycle of graduate student data, ensuring that every record, from initial enrollment through graduation, is precise, timely, and aligned with institutional data governance standards.

A major component of this role includes systems modernization projects, partnering closely with others on campus to implement new document storage systems and workflow processes.

Beyond system stewardship, this position is a central communicator, coordinating clear, consistent messaging to students, faculty, and staff across multiple platforms.

The role also contributes to seasonal initiatives within the Office of Graduate & Postdoctoral Studies, including recruitment cycles, orientation programming, and commencement events.

The ideal candidate will have strong analytical and problem-solving skills, as well as a high level of attention to detail and organization. Success in this role requires clear, confident communication and the ability to collaborate and work seamlessly with GPS colleagues, central administrative partners, graduate programs, and academic schools to support students and uphold Rice’s commitment to excellence.

Workplace Requirements

This position is exclusively on-site, necessitating all duties to be performed in person. Per Rice policy 440, work arrangements may be subject to change.

Hiring Range

This is a full-time, benefits-eligible position, and the proposed salary range is $60,000 to $69,900 annually, depending on qualifications and experience. Exempt (salaried) positions under FLSA are not eligible for overtime.

Minimum Requirements

  • Bachelor’s degree

    • In lieu of the education requirement, additional related experience, above and beyond what is required, on an equivalent year-for-year basis may be substituted

  • 3+ years of experience in student information systems, enrollment management, or higher education administration

Skills:

  • Advanced computer skills, including experience with Microsoft Office Suite, Adobe Sign, and databases

  • Advanced customer service skills

  • Understanding of enrollment processes and procedures

  • Ability to ensure and apply compliance with legal and university policies and external regulations

  • Ability to document existing processes and translate these processes to new tools, modernizing systems

Preferences

  • 5+ years of experience

  • Experience working with graduate students

  • Experience in higher education

  • Experience working with FERPA-protected student records

  • Banner 9 experience

  • Banner Workflow experience

Essential Functions

  • Administers enrollment and student records and maintains related systems in graduate student services; directs relevant communications. Manages the storage of current and historical records, ensuring the ability to quickly retrieve information, generate reports, and provide additional data as needed

  • Reviews enrollment exceptions requested by faculty and program administrators

  • Collaborates with others to help resolve issues and concerns, interprets policies, and mediates complex and sensitive issues related to graduate enrollment and student records

  • Reconciles complex issues; analyzes diverse transactions from multiple sources. Initiates highly detailed analyses and routine data integrity audits; develops methods for data review, corrects errors, and ensures consistent data accuracy

  • Develops and implements plans for outreach and training efforts for the Rice community and maintains relationships across campus

  • Identifies, suggests, designs, and helps implement new systems for document storage and process workflow in collaboration with the Director of Student Services, Office of the Registrar, and Office of Information Technology

  • Serves as a subject matter expert to other departments; represents Graduate & Postdoctoral Studies

  • Serves as a key member of university-wide teams or projects

  • Performs all other duties as assigned

Additional Functions

  • Ensures data is entered within appropriate timelines; implements new methods and processes to ensure timelines are met or to improve data transfer efficiency

  • Assists with strategic planning and, based on outcomes, collaborates with the Office of the Registrar and Information Technology to develop and implement new process workflow tools

  • Works directly with the Office of the Registrar and other staff across campus on the management of data for interrelated functions, ensuring accuracy and appropriate communication of final data

  • Directs and maintains online content related to graduate student records

  • Manages the review, maintenance, submission, and changes to records and data; ensures timely updates and accuracy of all official documentation (university and office policies, business process documentation, the General Announcements, etc.)

  • Initiates high-detail analyses and routine data integrity audits; develops methods for data review, corrects errors, and ensures consistent data accuracy

  • Ensures procedures conform to management policies and legal requirements governing confidentiality of student records, including the Family Educational Rights and Privacy Act (FERPA) and all other applicable laws and regulations

  • Provides guidance, instruction, and direction in response to complex inquiries and requests for information from the university community

  • Stays abreast of current trends related to enrollment, student services, and Registrar functions; researches and recommends new technologies to improve efficiency and functionality
