About the Technology Project Coordinator position:

The Technology Project Coordinator is part of a team responsible for the planning, administration, support, installation, maintenance, enhancement, optimization, and documentation of the physical security technology at the Jewish Federation of Cleveland (JFC) and the robust community security initiatives of our partner, JFC Security LLC.

The Project Coordinator supports the planning, coordination, and successful delivery of security technology initiatives at the Jewish Federation of Cleveland and throughout the community. The coordinator ensures projects and grant activities remain organized, on track, and well-communicated. This role also plays an important relationship-building function, helping strengthen trust and collaboration with JFC Security, LLC. leadership and partner organizations and vendors through clear, consistent, and responsive communication. The position reports to the Manager, Security Technology under the direction of JFC Security, LLC.

Essential Job Functions
Coordination & Operational Support
  • Coordinate day-to-day activities for multiple security technology projects (e.g., system upgrades, new installations, maintenance & support initiatives).
  • Maintain project schedules, milestones, and task lists to support timely execution.
  • Track project budgets, expenses, and vendor invoices; assist with documentation and reporting in adherence to JFC and grant funded requirements.
  • Organize project meetings, site visits, and installation schedules; prepare agendas, notes, and follow-up items.
  • Support security technology leadership with project tracking, status updates, and communications.
  • Maintain centralized project documentation, contracts, security system records, as-built diagrams, and vendor materials.
  • Assist with the ongoing support, management, and documentation for our community-wide physical security systems.
  • Provide timely response to system issues, escalating the issues with security team members, community stakeholders, and vendors.
  • Assist with development and management of project plans and project forecasting.
Grant Management
  • Collaborate with IT, security teams, and partner organizations to develop and gather necessary documentation for grant proposals, including risk assessments, technical data, budgets, and impact metrics.
  • Maintain a comprehensive list of grants calendar to track relevant deadlines and submission schedules.
  • Oversee the technology related grant agreements, reporting requirements, and compliance with funder guidelines.
  • Maintain relationships with grant administrators at the state and federal level.
  • Assist with review of vendor proposals for accuracy and adherence to grant standards.
Stakeholder & Community Engagement
  • Serve as a consistent point of contact for partner agencies and community stakeholders regarding project timelines and logistics.
  • Build and maintain positive working relationships with partner organizations, vendors, and internal teams.
  • Communicate project updates clearly and professionally, translating technical details into end-user updates.
  • Coordinate customer check-ins, training, and handoffs related to new or upgraded security systems.
Qualifications:
  • 2–4 years of experience in project coordination, operations, technology support, or a related role.
  • Bachelor’s degree in information systems or relevant experience.
  • Experience in a technical project coordination role.
  • Strong verbal and written communications, including comfort working with external stakeholders.
  • Self-motivated with ability to work independently and as part of a diverse team.
  • Strong organizational and time-management skills with excellent attention to detail.
  • Experience managing project tasks, schedules, timelines, and basic budgets.
  • Proficiency with common productivity and project coordination tools.
  • Experience in grant writing and management within a nonprofit organization, a plus.
  • Experience working with security technology, physical security systems, IT, or facilities-related projects, a plus.
  • Experience working in a service-oriented environment, a plus.
