Position Title: Program Assistant

Department: Immigration Legal Services – Affirmative Services

Position Type: Temporary, Half-Time (18.75 – 29.75 hours/week), Non-Exempt

Work Setting: Fully Onsite

Reports To: Program Manager

Pay Range: $21/hour

Total Compensation:

In addition to standard pay, compensation for this position includes:

  • Sick Pay – 1 hour for every 30 hours

Please Note: This position is temporary; you will only receive state minimum of sick time and it does not include vacation or 401K benefits.

Position Overview:

The Program Assistant provides administrative support to immigration case workers and attorneys. This position reports directly to the Program Manager and assist the Supervising Immigration Advocate for the Affirmative Services Program. They interact daily with the public to field inquiries and screen for eligibility for programs. The PA provides client-centered services in a fast-paced environment.

Responsibilities:

  • Assist with office-related support and administrative tasks
  • Screen for eligibility and schedule appointments for Affirmative Services Program
  • Manage online scheduling system for Affirmative Services Program; create monthly reports
  • Answer voicemails, refer and assist on Immigration Line
  • Provide client centered assistance to low-income immigrant populations
  • Assist Affirmative services case workers to prepare immigration applications and submit immigration filings
  • Track immigration filings and notify caseworkers of case updates
  • Participating in community workshops, information sessions, and other outreach activities
  • Stay up to date on rapidly changing immigration laws and policies
  • Comply with data and program reporting requirements

Skills/Experience/Abilities That Are a Must-Have:

  • Strong oral and written communication skills in English and Spanish
  • One year of administrative support experience
  • Experience working with immigrant communities
  • Ability to prioritize, multi-task and organize in a fast-paced environment
  • Proficient in Microsoft software including Excel, Word, Outlook, and Teams
  • Excellent interpersonal and listening skills
  • Demonstrated ability to take initiative
  • Ability to work both independently and in a group
  • Ability to work flexible hours, including some evenings and weekends
  • Valid driver’s license, access to an automobile, insurance, and willingness to drive to offsite; locations
  • Language proficiency in Arabic, Farsi, Haitian Creole or other language a plus

Skills/Abilities We’d Like You to Have:

  • Bachelor’s degree or equivalent experience desired

Physical Requirements:

  • Occasional evening and weekend work may be required
  • Travel may be required for conferences, client meetings, court hearings, or community events
  • While performing the duties of this position, the employee is regularly required to sit, talk, and listen
  • The employee frequently needs to stand, walk, use hands and fingers to operate a keyboard, handle documents, and reach for the telephone or other office equipment
  • The work environment has a moderate noise level, requiring the ability to concentrate and maintain good auditory perception
  • The employee must have the ability to lift, push, or pull up to 25 pounds as needed. ding leg and spine
  • Reaching – Extending hand(s) and arm(s) in any directions
