Position Title: Program Assistant

Position Type: Full-Time (37.5+ hours/week), Non-Exempt

Work Setting: Fully Onsite

Reports To: Director of Family Therapy Services

Pay Range: $21-$24/hour

Position Overview:

Please note: this position is contingent upon the successful award of a contract and availability of funding. Employment cannot be guaranteed until both the contract and necessary funding are secured.

JFS is looking for a compassionate, mission-driven individual to join the Family Therapy Services team as a Program Assistant. The Program Assistant will have the opportunity to use their organization skills and office experience to make a meaningful difference in your community. This role will provide the back-end support needed to operate this important service for youth and families by assisting in data entry, preparing monthly and other regular reports, supporting back-end billing and fiscal management, greeting clients and visitors, audit preparation and maintenance of program documents, including program files. This position reports directly to the Director of Family Therapy Services and works closely with the Family Therapists and Intake Specialist.

Responsibilities:

  • Properly check guests/clients in and out in a welcoming manner
  • Proficiently answer/reroute phone calls and emails as appropriate
  • Maintain a clean and organized environment
  • Interact effectively and courteously with all levels of management and staff
  • Conducts purchasing and maintains copies of requests of program items, utilizes logs to track use of flex funds and incentive distribution to graduating clients
  • Process receipts for monthly expenses into Paper save system
  • With Director, support invoicing for therapeutic services
  • Enters client and programmatic information into program-specific databases and reviews and edits existing data files as appropriate. Assist in regular file audits
  • Assists in developing and implementing administrative policies and procedures to ensure compliance with agency and contract requirements
  • All other duties as assigned

Skills/Experience/Abilities That Are a Must-Have:

  • Ability to pass a pre-employment drug test and criminal history background check
  • Must have a valid CA driver's license, insurance, a reliable personal vehicle, and a willingness to travel off-site
  • Demonstrates the ability to handle stress tactfully and appropriately
  • Excellent written and verbal communication skills

Skills/Abilities We’d Like You to Have:

  • Bachelor’s level education in the areas of Psychology, Social Work, or related field preferred
  • Bilingual preferred

Physical Requirements:

While performing the duties of this job, the employee is regularly required to sit, talk and listen. The employee frequently is required to stand, walk, use hands and arms to type on a keyboard, handle papers, and reach for the phone. Employee must occasionally lift and/or move up to 20 pounds and occasionally lift and/or move up to 25 pounds.
