AGENCY OVERVIEW:

POSITION SUMMARY:
Under the direction of the Regional Director, Business and Administrative Operations, the Administrative Receptionist is responsible for providing reception, data entry, and program support to the Marin Region as assigned. The Administrative Receptionist supports the achievement of program, operational, and budget goals by carrying out assigned responsibilities in alignment with the mission and objectives of Jewish Family and Children’s Services. This role operates within the established policies and procedures, and available resources of the Agency and ensures that all responsibilities are performed in compliance with agency standards and policies, applicable federal, state, and local regulations, documentation requirements, and licensing or regulatory standards where applicable.
COMPENSATION AND BENEFITS:
- Pay Range: $27.00 – $30.00 per hour (depending on experience)
- Employment Type: full-time, non-exempt position with benefits

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES:
- Provides primary reception coverage, including opening and closing of reception/building as necessary
- Greets employees, visitors, vendors, and community members professionally while maintaining strict confidentiality
- Manages a multi-line phone system by answering and directing incoming calls promptly, maintaining clear communication and efficient routing
- Assists with visitor sign-in procedures, building access coordination, and facilitates the flow of clients and meeting attendees
- Processes client payments and accurately records transactions in SmartCare; prepares weekly banking deposits and scans documents for accounting
- Monitors reception area, common areas, equipment, and entrance/foyer to maintain a professional, safe, and organized environment
- Supports general administrative requests, performs routine clerical assignments, and manages the Master Reception Outlook Calendar
- Works cooperatively with Marin region staff, assisting programs such as JFCS Rides, MSSP, and Food Bank (including Salesforce updates and weekly grocery pick-ups)
- Accepts and processes donations according to JFCS procedures
- Assists clinicians with opening and closing clinical cases in SmartCare and creating physical charts for new clients
JOB QUALIFICATIONS:
- High School Diploma or equivalent required
- Minimum of one year of relevant professional experience in front desk/receptionist experience, or equivalent
- Minimum of one year data entry experience
- Minimum of two years secretarial/administrative or equivalent experience
- Excellent written and verbal communication skills, with the ability to present complex concepts clearly and effectively to diverse audiences.
- Ability to type a minimum of 50 wpm
- Working knowledge in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Docs, Sheets, Drive)
