GENERAL DESCRIPTION
The Executive Assistant provides high-level support to the Chief Executive Officer and Chief Development Officer, using planning, organization, and communication skills to ensure the smooth running of executive operations, particularly in support of the organization’s fundraising functions.
RESPONSIBILITIES
- Provide high-level support to the CEO and CDO, including calendar and scheduling management.
- Maintain strong communication with donors, composing and producing documents, correspondence, and presentations.
- Collect, organize, and prepare materials for CEO/CDO donor meetings and discussions.
- Participate in Development Team strategy meetings; anticipate donor management needs in alignment with executive schedules.
- Maintain Salesforce records for donor stewardship, cultivation, and tracking.
- Identify scheduling conflicts; manage room bookings, agendas, catering, and other logistics.
- Event support for donor receptions, small events, or internal gatherings; handling invitations, outreach, catering, and setup details.
- Oversee logistics for small and large meetings, including scheduling, agendas, materials, stakeholder coordination, and guest hospitality.
- Ensure that donors are thanked appropriately and in a timely manner.
- Maintain records and donor tracking systems with accuracy and confidentiality.
- Support data entry, maintenance, and tracking of donor information, notes, attachments, and opportunities.
- Assist with departmental mailings and appeals.
- Draft donor correspondence as needed.
- Track and reconcile expenses; manage invoices, check requests, receipts, and credit card statements.
- Coordinate travel arrangements, meeting logistics, and expense reimbursements for CEO and CDO.
- Uphold professionalism and confidentiality in all aspects of support and information handling.
- Maintain digital records, files, and archives for the organization.
REQUIREMENTS
- Bachelor’s degree or equivalent combination of experience and education.
- Minimum 3 – 5 years of administrative experience
- Proven experience providing executive-level support; prior experience as an Executive Assistant in a non-profit setting highly preferred.
- Strong interpersonal skills to work effectively with staff, leadership, and donors.
- Excellent written and verbal communication skills.
- High proficiency in Microsoft Office Suite; Salesforce a plus.
- Exceptional attention to detail, accuracy, and deadlines.
- Ability to “manage up” and ensure task follow-through.
- Strong organizational skills with the ability to prioritize and manage multiple projects.
- Discretion and reliability in handling confidential and sensitive information.

ADDITIONAL PREFERRED QUALIFICATIONS
- Prior experience in a nonprofit or development office environment.
- Event planning and coordination experience.
- Familiarity with Salesforce CRM.
- Knowledge of or familiarity with Jewish community, culture, and traditions.
WORKING CONDITIONS
Working conditions are typical of an office environment. Work is mainly performed within a large community center, and involves regular, frequent contact with staff, guests, and visitors. Some remote work may be available, subject to event and team schedules.
PHYSICAL REQUIREMENTS
Position requires seated or standing use of a computer throughout the day.
