Overview
The JCC Maccabi Administrative Assistant plays a vital role in the planning and execution of the 2026 JCC Maccabi Games. Under the supervision of the JCC Maccabi Games Director, this position supports all administrative, operational, and logistical functions of the JCC Maccabi Office. The Administrative Assistant will also receive assignments, guidance, and day-to-day direction from both the Games Director and the Assistant Games Director.
The JCC Maccabi Administrative Assistant is responsible for managing registration, maintaining organized and accurate records, communicating with participants and partners, coordinating meetings, and assisting with key preparations. In the initial few months, the position will be part-time with hours ramping up to full time in the months leading up to the JCC Maccabi Games which will take place August 2-7, 2026.
Schedule
Works in person at The J.
Approx. 20 hrs/wk through Jan-March and then 40 hrs/wk April through end of games in early August.
Responsibilities
- Oversee registration processes for athletes, delegation heads, coaches, host families, volunteers, VIPs, staff, and guests.
- Maintain accurate, well-organized, and easily accessible records and databases.
- Follow up with participants, volunteers, and delegations to secure all required information and documentation.
- Serve as a liaison between the Director and JCC staff, committees, volunteers, visiting delegations, guests, and community partners.
- Schedule meetings, coordinate logistics, and take minutes as assigned.
- Utilize Microsoft Office (Word, Excel, PowerPoint) and Games-specific software (training provided).
- Provide administrative and logistical support for pre-Games planning activities.
- Assist with hands-on operational needs in the Maccabi Office in the weeks leading up to and during the 2026 Games.
- Support the Director with additional tasks as needed to ensure a smooth, organized, and highly professional event.
- Strong organizational skills with a high attention to detail.
- Ability to manage multiple priorities while maintaining accuracy.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite; comfortable learning additional software.
- Professional, personable, and able to remain calm under pressure.
- Ability to work collaboratively with a diverse group of staff, volunteers, community members, and visiting delegations.
- Flexibility to work occasional evenings and weekends, especially as the Games approach.
Physical Requirements
- Ability to sit or stand for extended periods.
- Ability to lift up to 25 pounds occasionally.
