This in person role combines program administration, staff supervision, facility oversight, customer service, resource management, and operational leadership. The ideal candidate is highly organized, technologically proficient, proactive, solutions-oriented, and committed to excellence in every aspect of program delivery.This individual serves as a key operational partner to the Director of Programs, helping support administration of programs, facilities, instructors, support staff, and participant communications. They are expected to take initiative, anticipate needs, solve problems independently, and contribute to the development of systems and procedures that improve efficiency, consistency, and participant experience throughout the department.The successful candidate will be comfortable working in a dynamic environment where priorities may shift quickly and will demonstrate exceptional attention to detail, professionalism, customer service, and follow-through.WHAT YOU WILL DO:Program Coordination and Operations• Support the daily operation of JCC programs, including sports, arts, adult programming, youth programming, special events, and seasonal offerings.• Assist with program setup, breakdown, materials preparation, room organization, logistical coordination, and readiness of facilities, equipment, and instructional resources.• Provide administrative and systems support, including registrations, spreadsheets, payments, recordkeeping, scheduling, database management, website updates, participant communications, and accurate program documentation.• Support instructors, vendors, volunteers, and program leaders to ensure smooth program delivery when the Program Director is unavailable.• Communicate with participants regarding schedules, updates, cancellations, and program information in coordination with the Program Director.• Support the Program Director in monitoring program quality and participant experience, identifying concerns, and contributing to solutions that improve service delivery and departmental efficiency.• Maintain program supplies, equipment, materials, and storage areas, including purchasing, replenishment, distribution, setup, transport, and organization. Other duties as assigned to support the needs of the agency Babysitting Room Management• Coordinate babysitting room schedules and staffing assignments, including support for hiring, onboarding, training, supervision, scheduling, payroll and discipline of babysitting staff.• Maintain a safe, organized, welcoming, and developmentally appropriate environment for children and families, including room organization, cleaning schedules, equipment maintenance, and supply management.• Respond professionally to participant feedback, concerns, and complaints, escalating issues when appropriate• Serve as a babysitter and role model while helping ensure staff adherence to departmental policies, safety standards, and customer service expectations.Leadership • Demonstrate a strong commitment to excellence, professionalism, accountability, and customer service• Exercise sound judgment, initiative, ownership, and follow-through in addressing day-to-day operational needs and completing assigned responsibilities with minimal support and supervision.• Serve as a knowledgeable resource regarding departmental programs, policies, and procedures• Collaborate with the Programs Team to continuously improve processes, enhance participant experiences, and maintain high-quality standards• Promote a positive, welcoming, and participant-centered culture that reflects the mission and values of the JCC Programs DepartmentWHO YOU ARE:• Strong communication, organization, project management, and multitasking skills• Excellent customer service and conflict-resolution abilities• Ability to work independently while collaborating effectively with the Director of Programs and other departments• High level of proficiency with Customer Relationship Management (CRM) systems, databases, and digital communication platforms• Strong computer literacy, including proficiency with Microsoft Office, spreadsheets, online scheduling systems, email platforms, and social media• Ability to learn new software systems quickly and troubleshoot basic technology issues• Demonstrated initiative, problem-solving skills, attention to detail, and strong follow-through• Experience supervising, training, scheduling, or managing staff preferred• Comfortable interacting with children, parents, instructors, community members, volunteers, and vendors• Ability to prioritize multiple projects and deadlines in a fast-paced environment• Prior experience in program coordination, operations, administration, recreation, education, nonprofit management, or customer service preferred• Ability to lift and move up to 25 pounds and assist with program setup, breakdown, inventory management, and equipment movement• Artistic knowledge and inclinations preferred• CPR/First Aid certification a plus (or willingness to obtain)PHYSICAL DEMANDS AND WORK ENVIRONMENT:While performing the duties of this position, the employee may spend significant time sitting, standing, walking, and using a computer. The employee may frequently be required to move throughout the facility and program spaces and must occasionally lift and/or move up to 25 pounds.The work environment is active, fast-paced, and highly interactive. The employee will regularly engage with participants, families, instructors, staff, and community members.
