Program Support Specialist (BX Counseling Center)

Position Summary: The Program Support Specialist in collaboration with the Program Specialist is responsible for the registration of incoming clients to the clinic. They are responsible for collecting all relevant demographic and financial information, as well as gathering information about the client’s presenting needs. The Program Support Specialist is also responsible for inputting new client data into the electronic health record, handling data entry for the clinic, and manning the clinic telephones and email. The Program Support Specialist will also understand the clinic’s available services and specialties, in order to best facilitate the intake process for the client.
Responsibilities:
Schedule and confirm appointments with psychiatric providers, and manage their schedules in the electronic health record.
Communicate with clients to obtain relevant clinical and demographic information, and enter necessary information into the electronic health record.
Communicate with referral sources, review incoming referrals and verify information with relevant parties including the client and clinic Supervisor/Director.
Provide information about the clinic/programs and referrals if it is requested or needed.
Maintain up-to-date client’s demographic and insurance information.
Accurately set up accounts for new clients in the electronic health record, based on program & location.
Make sure that all intake paperwork is filled out properly and explained completely to the client.
Obtain authorization or referral, if the client’s policy requires prior to assignment of the case to a therapist.
Setup patient’s responsibility charge based on the patient’s eligibility three days prior to the intake date and make the patient aware of it.
Collects co-pays and outstanding balances accurately.
Perform chart review before admitting or discharging cases.
Request medical records for all new clients and upload in the electronic health record.
Attend Program Meetings, Team Meetings, and Supervision.
Provide clerical support to the Program Director and other staff members, particularly in confidential matters and those that require discretion.
Function as Program Director’s assistant in day-to-day operations.
Qualifications:
High School diploma or equivalent. Bilingual candidates are encouraged to apply.
A minimum of one year of experience in a client/customer facing role.

Preferred Qualifications:
Prior experience working with an electronic health record
Hourly Rate Range: $24.72 - $27.47
