Program Support Specialist (CFTSS)

Position Summary: The Program Support Specialist will provide administrative support to the Behavioral Health & Wellness CFTSS program. The Program Support Specialist will have the responsibility of acquiring CFTSS referrals from both internal and external sources. In addition, they will be responsible for determining client eligibility, obtaining consents, and assigning service providers for CFTSS referrals.
Responsibilities:
Will obtain CFTSS referrals from internal and external referral sources – enter the referral into Managed Care Client list, enter the referral into the EHR (assign evaluator, enter benefit assignment) and obtain consent for OLP evaluation, Clients Rights and Responsibilities, Freedom of Choice and HIPPA for Health Homes, MCO, foster care, school and/or mental health treatment. Collaborate with the OLP Evaluator Supervisor/Director to oversee the completion of consents.
Will upload consents and supporting documents in the EHR System.
Determine, monitor and track client’s eligibility through e-PACES as well as other MCOs; report any expiration concerns to management to ensure no lapse in coverage
Provide support in various administrative tasks related to client services, including enrolling/dis-enrolling clients in the EHR system.
Generate and process notifications to the referral source if the medical consenter is unresponsive.
Maintain and follow up on client age report (clients turning 18 who need updated consents as well as clients aging out of the program) Program Specialist will obtain all new consents for clients turning 18 years old.
Will monitor and track client assignments and assign service providers to unassigned cases. Update the assignments in the EHR.
Track the receipt of Date of First Service form, upload into EHR and add to the authorization spreadsheet.
Maintain and ensure the Service Provider tracker which includes the status such as resignations, leaves and training. (resignation, medical leave, completion of trainings etc) processing and monitoring per diem staff for trainings, licensure, and PCRs for payroll, and coordinating with service providers regarding required trainings.
Send a monthly email to service providers containing monthly meeting materials and program updates.
Assist management with onboarding new service providers.
Send tracking reports for authorizations, treatment/service plans, safety plans and other required compliance components to program team members and compliance department
Update and monitor staff and client related spreadsheets or forms.
Attend program trainings
Assist in special projects as required by the program leadership and team.
Qualifications:
High School Diploma or equivalent with at least 5 years of administrative support experience; Associate degree with a minimum of 2 years of administrative experience.
Strong organizational skills and attention to detail, with proven ability to follow through on tasks.
Proficiency in Microsoft Office applications (Word, Excel, Outlook, PowerPoint).
Excellent telephone etiquette and interpersonal skills, with the ability to work effectively with a diverse group of people.
Strong written communication skills, including the ability to draft professional correspondence.

Bilingual in Spanish is strongly preferred.
Hourly Range: $24.72 - $27.47
