Overview of role: The Campaign and Development Analyst serves as the database administrator and operational backbone of the development team, ensuring data integrity, donor stewardship, and seamless execution of fundraising campaigns. This role manages all aspects of the donor database (Microsoft Dynamics), processes gifts and pledges, coordinates direct mail and phone-a-thon campaigns, and provides critical reporting to leadership. This individual maintains relationships with donors and solicitors through timely acknowledgments, pledge tracking, and campaign support, while ensuring accurate financial coordination with the finance department. This position requires strong technical skills, meticulous attention to detail, and the ability to balance multiple fundraising initiatives simultaneously.
Primary Responsibilities:
- Ensure data integrity and confidentiality for all donor needs and provide regular reporting on fundraising progress to leadership; maintain donor records, data entry, and data cleanup
- Build and maintain relationships with individual solicitors and donors, sponsors, foundations, and other stakeholders
- Accurately record contributions and pledges and prepare gift acknowledgment letters; send and track pledge payment reminders
- Support all campaign- and event-related data and reporting needs for team
- Supports grant management activities, including tracking deadlines, coordinating reports with program staff, and maintaining accurate grant records in the database.
Database Administration
- Maintain database configurations, code tables, scheduled processes, and notifications.
- Create database general ledger accounts and gift designations in coordination with finance department for proper mapping to accounting software.
- Perform in-depth testing of software updates and manage database migrations.
- Establish protocols for data entry processes to ensure consistency.
- Perform data integrity testing and data clean-up tasks to ensure information is accurately maintained.
Fundraising & Financial
- Prepare data for direct mail solicitations and coordinate mail house services.
- Prepare data and pledge cards for phone-a-thons; staff phone-a-thons.
- Regularly review open gifts and email updates to campaign volunteers regarding their solicitation assignments; maintain solicitation notes on constituent records.
- Produce donor recognition honor rolls for annual donor report.
- Monitor online giving platform; import/enter gift transactions into database.
- Process gifts and coordinate gifts via stock and ACH.
- Produce donor billing statements 3 times per year; send collection letters as needed.
- Provide support to Jewish Rhode Island for the Patron Campaign: gift acknowledgement letters, annual subscription renewal invoicing, subscriber address changes, produce revenue and analysis reports.
- Monitor USPS permit accounts to maintain sufficient prepaid balances (bulk mail, business reply, and postage due).
Qualifications
Experience:
- 2-4 years of experience in nonprofit development operations, database management, or fundraising administration
- Proven experience with donor database management and CRM systems
- Experience processing financial transactions, gift entry, and reconciliation
- Background supporting fundraising campaigns (direct mail, phone-a-thons, events)
Technical Skills:
- Proficiency with Microsoft Dynamics CRM
- Strong Microsoft Office skills, particularly Excel for data analysis and reporting
- Experience with database configuration, testing, and data integrity protocols
- Ability to generate reports and analyze fundraising data
Core Competencies:
- Exceptional attention to detail and commitment to data accuracy
- Strong organizational skills with ability to manage multiple projects and deadlines simultaneously
- Excellent written communication skills for donor correspondence and reporting
- Understanding of nonprofit fundraising principles and donor stewardship best practices
- Ability to maintain confidentiality and handle sensitive donor information
- Self-motivated and able to work both independently and collaboratively
Preferred Qualifications:
- Experience with online giving platforms and payment processing
- Knowledge of nonprofit accounting principles and gift processing procedures
- Familiarity with bulk mail processes and USPS regulations
- Experience coordinating with finance departments on gift reconciliation
- Background in Jewish nonprofit or community organizations
Education:
- Bachelor's degree required, Masters degree preferred
