Since its founding in 2011, more than 27,000 influential leaders representing 130 nationalities have traveled to Israel through itrek. In the last three years itrek has expanded its programs with itrek Launchpad, partnering with institutions and individuals to bring their professional networks to Israel, and with the absorption of REALITY from Charles and Lynn Schusterman Family Philanthropies.

Position Overview
Supporting the Chief Executive Officer and Chief Operating Officer, the Executive Assistant plays a critical role in managing executive operations, communications, scheduling, and strategic follow-through while also serving as a key ambassador for itrek in Israel. The role requires someone who is highly organized, proactive, and relationship-oriented. This role will report directly to the CEO.
In addition to traditional executive support responsibilities, this role will help expand itrek’s Israel-based network by supporting the CEO in identifying, mapping, and cultivating relationships with speakers, thought leaders, institutions, and organizations. The Executive Assistant will contribute to building and maintaining itrek’s speaker portfolio and content database, ensuring treks are exposed to diverse, high-quality voices across sectors.
Primary Responsibilities
Executive Support & Office Management
Calendar & Scheduling
- Manage and maintain complex calendars for the CEO, including scheduling internal and external meetings across time zones
- Prioritize competing demands and ensure executives are prepared and on time
- Coordinate meeting logistics, including agendas, materials, technology, and follow-ups
Meeting Preparation & Follow-Through
- Prepare briefing materials and background research in advance of meetings
- Draft talking points, presentations, and correspondence on behalf of the CEO
- Track action items and ensure timely follow-up on key initiatives
- Take notes and manage information flow to ensure clarity and accountability
- Provide operational and project management support for executive-led strategic initiatives
- Support cross-departmental coordination as needed
- Assist with special projects and organizational priorities as assigned
Communications & Administrative Operations
- Draft and edit emails, presentations, donor communications, and internal updates
- Maintain familiarity with organizational priorities, programs, and stakeholders in order to communicate effectively and accurately
- Act as a gatekeeper and point of contact between executives and internal/external stakeholders
- Handle sensitive information with discretion and complete confidentiality
- Support Board-related logistics as needed, particularly for Israel-based meetings or engagements
Skills and Qualifications
- Minimum 5 years of Executive Assistant or equivalent experience supporting senior leadership
- Bachelor’s degree required
- Exceptional organizational and time management skills with strong attention to detail
- Excellent written and verbal communication skills in English (Hebrew proficiency strongly preferred)
- Strong interpersonal skills and ability to build relationships across sectors in Israel
- Proactive, self-directed, and solutions-oriented mindset
- Ability to manage multiple priorities in a fast-paced, entrepreneurial environment
- Professional presence and confidence interacting with senior stakeholders
- High level of discretion and integrity in handling confidential information
- Strong research skills and comfort conducting outreach
- Proficiency in Microsoft Office and Google Workspace
- Deep familiarity with Israeli society, sectors, and institutions strongly preferred
