Role Overview

Columbia/Barnard Hillel is seeking a Director of Operations to oversee the organization’s operational and financial functions. In addition to the technical skills required, the Director of Operations is entrepreneurial, intellectually curious and thrives in a fast-paced environment. Highly organized with a keen attention to detail, the Director of Operations plans, directs and coordinates financial and operational strategy and works as a key thought partner to the Executive Director and Associate Director. This is a full-time in person position. Columbia/Barnard Hillel is a team-oriented, collaborative and highly flexible work environment; some evening and weekend hours will be necessary to support special programs and/or projects and fundraising events. The Director of Operations reports to the Executive Director.

What You’ll Do

Financial Management/Development

  • Monitor the Hillel’s financial performance, identifying areas of concern or opportunity.
  • Assist Executive Director and the Board of Directors in the preparation of the annual budget.
  • Present financials and other updates to the Board of Directors at quarterly meetings. Participate in regular Executive Committee meetings.
  • Alongside Associate Director, oversee programmatic budgets.
  • Oversee all organizational purchasing to maximize Hillel’s budget.
  • Work with and manage our bookkeeper and accountant.
  • Provide monthly financial and fundraising reports to Associate and Executive Directors.
  • Responsible for managing the accounting function, ensuring accurate and timely financial information.
  • Perform monthly audits between the financial system and fundraising database, reviewing account reconciliations on a monthly basis.
  • Supervise all incoming cash receipts and deposits.
  • Oversee the use of the donor database, including gift processing, data cleanliness, and strategic data usage.
  • Partner with the Development Team to implement large events including an annual gala.
  • Establish appropriate financial controls and policies across the organization.
  • Ensure staff comply with all financial procedures, and implement new ones as needed.

Day-to-day Operations/HR

  • Work in partnership with the Executive Director to ensure operational excellence.
  • Maintain excellent relationships with various Columbia administrative, IT, and maintenance entities, in addition to outside vendors.
  • Manage HR, payroll, and benefits, and accounts payable and receivable.
  • Oversee technology systems, including computers, phones, voice mail, copy machines, vendor management, leasing, purchasing and maintenance.

Building Management and Rental

  • Work with contractors, vendors, suppliers, and custodial support to ensure the facility is conducive to its intended uses and is maintained in professional condition.
  • Ensure office and building compliance with state and federal laws, Columbia policies, and regulations.
  • Oversee outside rental schedule for Columbia/Barnard Hillel.
  • Manage and evaluate Hillel’s systems and protocols (safety, emergency readiness, technology, etc.)

Qualifications

  • Five to ten years of relevant experience
  • Bachelor’s degree (or equivalent) in business administration or related field
  • Experience in developing budgets and business plans
  • Superior negotiation skills for both internal and external purposes
  • Strong working knowledge of data analysis and performance metrics, using business management software
  • Proficiency in Quickbooks.

Full time, On-Site, position at the Kraft Center, West 115th and Broadway.

  • Good organizational, communication, and leadership skills, backed by previous professional success
  • Knowledge of multiple operational functions and principles, including finance, customer service, production, and employee management
  • Strong working knowledge of HR legal guidelines
  • Experience with financial accounting and management.
  • A collaborative and flexible approach to busy work environments.
  • Experience at other not-for-profit or for-profit endeavors. Past work in a Jewish environment is helpful but not required.
  • Punctuality, fastidiousness and a desire for excellence in all areas of fiscal management.
  • Ability to manage many tasks and projects simultaneously while adhering to deadlines and expectations.
  • Ability to assess current processes and recommend best practices.
  • Proven effective communication in areas of fiscal management.
  • Ability to build and maintain collaborative relationships.

What You’ll Receive

  • Competitive salary in the non-profit marketplace. The salary for this role is $105,000 - $125,000.
