Description
Hillel Day School is seeking a highly organized, detail-oriented, and proactive Advancement Office & Data Manager to lead the administrative and data operations of the Advancement Department. This key role supports fundraising, admissions and enrollment, alumni engagement, and special events through strong data oversight and operational coordination. The successful candidate will bring financial acumen, excellent communication skills, an understanding of confidentiality and discretion, and a commitment to excellence that aligns with the school’s mission and values.
Database and Financial Management
- Oversee data entry and ensure the accuracy, consistency, and integrity of the donor database; knowledge of Raiser’s Edge a plus.
- Execute and oversee gift processing, including timely and accurate receipt, and acknowledgment letter generation.
- Maintain donor records and constituent data in alignment with established gift entry standards and guidelines.
- Perform daily reconciliations and generate other reports in collaboration with the Accounting Office to ensure accurate financial tracking of gifts, pledges, and payments.
- Coordinate the preparation and distribution of annual tax and endowment letters and tribute/memorial gift notification.
- Maintain and look to enhance systems for tracking donor engagement, stewardship activities, and alumni activity.
Advancement Operations and Event Support
- Oversee daily office operations and support the Advancement team's logistics.
- Assist with event coordination, including creating registration forms, RSVP tracking, budget management, supply procurement, and day-of logistics.
- Ensure advancement-related communications (emails, mailings, acknowledgments) are timely and professional.
- Collaborate to execute successful school events and fundraising campaigns.
Collaboration and Communication
- Support communications with donors, alumni, parents, and community members courteously and professionally.
- Manage inventory of printed materials, marketing collateral, and Advancement supplies.
- Assist with basic content and image curation for social media, newsletters, and donor-facing communications.
- Support, as needed, with various aspects of the admission and recruitment process, and also supporting the needs of teachers, staff, parents, and the general Hillel community.
Requirements
Qualifications and Experience
- Bachelor’s degree required.
- Minimum 3–5 years of experience in advancement, nonprofit administration, or database management preferred.
- Strong financial literacy and experience with reconciliation processes.
- Proficiency in data management systems; experience with Raiser’s Edge strongly preferred.
- Excellent organizational, project management, and problem-solving skills.
- Ability to maintain strict confidentiality, manage sensitive information, and ensure data accuracy.
- Outstanding communication and interpersonal skills; high emotional intelligence.
- Flexible, collaborative team player with a proactive approach and growth mindset.
- Comfortable working in a fast-paced school environment and balancing multiple priorities.
- Personal qualities include self-motivated, approachable, kind, sensitive, discrete, and possessing a sense of humor and the highest ethical and professional standards
- Flexible and willing to work evenings/weekends as necessary
