POSITION SUMMARY:

HIAS seeks a Program Associate to join the Programs team in the HIAS team in Austria. This position is a three-month fixed contract role at a full-time rate. This position will work with a small team to receive, quality check, data enter and upload applications into a portal. This position additionally requires communication between HIAS and partner organizations regarding the status of submitted applications.

The salary for this position is 3,150 Euro per month.

ESSENTIAL FUNCTIONS:

  • Receive application packages, including supporting documents, from partner agencies
  • Correspond with partner agencies regarding the receipt of applications packages
  • Track and log the application package submission and upload dates
  • Review application packages for completeness, including the verification of key fields and confirmation of essential supporting documentation
  • Data enter key information and upload supporting documentation into an online portal
  • Conduct quality assurance checks for all data entries and uploaded documentation
  • Follow up with partner agencies on any missing or incorrect information as well as any errors in supporting documentation
  • Communicate application upload confirmation details with partner agencies
  • Attend and participate in team meetings and training sessions
  • Translate documents and messages as necessary

QUALIFICATIONS & REQUIREMENTS:

  • Undergraduate degree in a relevant field or an associate’s degree plus three years of relevant working experience
  • 2-5 years of data entry experience
  • Strong command of English (written and verbal)
  • Strong command of Farsi, Russian or Ukrainian (verbal & written) an advantage
  • Experience using Word, Excel and other Office 365 products, including SharePoint
  • Enthusiastic, hardworking and motivated
  • Ability to adapt quickly to new tasks, changes and challenges
  • Excellent problem-solving skills – able to find information required to recommend and/or make decisions quickly and confidently
  • Ability to critically analyse documents
  • Highly organized with strong attention to detail
  • Excellent communication skills (written and verbal)
  • Confidence in maintaining program integrity, preventing fraud and practicing confidential communication
