Position Summary
The Manager of Gift & Records Administration is an integral part of the Institutional Advancement team (IA) focused on gift entry, gift accounting, gift reporting and receipting, and gift analysis for HUC-JIR. The Manager of Gift & Records Administration will demonstrate initiative, forward-thinking and understanding of best practices to support the growth of HUC-JIR’s outreach to donors and alumni, ensure data integrity, and maintain positive relations with internal and external stakeholders.
Essential Duties and Responsibilities
The essential functions include, but are not limited to the following:
- Oversee all gift, pledge, pledge payment, and other miscellaneous revenue processing and entry into Raiser’s Edge and other related financial platforms, including documentation, electronic check deposits, batch entry, recurring gifts, and synchronization of on-line giving.
- Oversee production of gift and pledge receipts and their delivery to donors.
- Oversee production of tribute gift notifications and their delivery to donors.
- Oversee production of pledge reminders and their delivery to donors.
- Oversee and maintain constituent bio/demo updates in Raiser’s Edge (contact information, memberships, deceased, et.al.) and create new constituent records as necessary.
- Oversee electronic and hard-copy storage and accessibility of all relevant supporting documentation for gifts, pledge, and pledge payments.
- Synchronize on-line giving between various applications, including Raiser’s Edge, Blackbaud Merchant Services, and Almabase.
- Liaison between the National Business Office and IA in all matters related to donations, including, reconciliation, fund creation/close, gift adjustments, wire transfers, and stock and property donations.
- Produce lists from Raiser’s Edge.
- Produce queries and exports from Raiser’s Edge database environment or data warehouse.
- Answer donor questions regarding gifts, pledges, or pledge payments and research back-up documentation.
- Ensure integrity of gift records in Raiser’s Edge, including but not limited to, documentation, fund designation, hard/soft credit.
- Establish best practices for gift processing.
- Identify improvements to systems and workflows.
- Communicate gift information with gift officers, other IA staff, and pertinent HUC-JIR staff and faculty for acknowledgement purposes, including timely reporting of new gifts to IA staff.
- Work with the Director of Data Services to enhance and troubleshoot donor gift entry and receipting.
- Work with the Director of Data Services and the NBO to ensure Raiser’s Edge and MIP (Accounting Software) reconcile on a monthly basis.
- At the discretion of the Senior Director of Advancement Services, direct the Advancement Service Coordinator to perform the above duties.
- Perform other duties as assigned.
Qualifications
Education
- Required: Associate degree or some college in related field
- Preferred: Bachelor’s degree in related field
Experience
- Required: Two years of administrative experience; non-profit experience
License/Certification
- Required:
- Preferred: Raiser’s Edge Certification
