Agency Description:

The Hebrew Educational Society, a thriving multi-service, comprehensive community center located in southeast Brooklyn, provides a diverse array of programs and services within a multicultural, multi-ethnic environment that is inclusive of people of all ages and ability levels. Programs include Early Childhood, After School, Camps, Athletic and Aquatic Activities, Older Adults & Disability Services for children and adults.

The Administrative Assistant to the Executive Director provides high-level administrative, organizational, and clerical support to ensure the efficient operation of the Executive Director’s office. This role requires professionalism, discretion, strong organizational skills, and the ability to manage multiple priorities in a fast-paced environment. This role is primarily on-site at the Jewish Community Center and may require occasional evening or weekend hours for programs, meetings, or community events.

Responsibilities:

  • Manage the Executive Director’s calendar appointments, schedule meetings, and coordinate appointments
  • Prepare, proofread, format and organize meeting materials, agendas, announcements, and internal communications
  • Handle incoming communications (email, phone, in-person), responding on behalf of the Executive Director when appropriate
  • Assist in preparing, formatting, and submitting grant applications to city and state agencies.
  • Maintain organized records of grant applications, awards, and reporting requirements.
  • Communicate with grantors and community partners as needed.
  • Track deadlines and ensure timely submission of grant-related documents.
  • Assist with board relations, including scheduling board and committee meetings, preparing board packets, taking minutes, and maintaining records.
  • Maintain organized filing systems (digital and physical) for confidential documents, correspondence, and reports
  • Track deadlines, project timelines, and ongoing initiatives to support the Executive Director’s priorities
  • Serve as a warm, welcoming representative of the Executive Director’s office to staff, members, donors, and community leaders.
  • Support JCC programs and community events as needed, ensuring alignment with organizational values and cultural traditions.
  • Uphold and model the JCC’s commitment to inclusivity, and community-building.
  • Conduct research and prepare briefing materials on programs, community needs, and strategic initiatives.
  • Assist in tracking progress on organizational goals and producing status updates.

Qualifications

  • Minimum 2-4 years of administrative or executive support experience
  • Exceptional organizational and time-management skills
  • Strong written and verbal communication abilities
  • High level of discretion and professionalism in handling confidential information.
  • Proficiency with office software (Microsoft Office, Google Workspace) and comfort with learning new digital tools.
  • Ability to work independently, take initiative, and anticipate needs.
  • Experience working in a nonprofit, community center, or mission-driven organization preferred.
  • Familiarity with Jewish culture, values, holidays, and community life preferred (or willingness to learn)
  • Experience supporting senior executives preferred.
  • Warm, approachable, and community minded.
  • Detail-oriented with excellent follow-through
  • Collaborative and supportive with a service-oriented mindset.
  • Flexible, able to manage multiple priorities, and comfortable working in a dynamic environment.

Pay: $90,000.00 per year
