WHAT YOU WILL DO:

The Administrative Assistant is a non-exempt position responsible for providing high-level administrative support to the Human Resources department and for serving as the first point of contact for employees and visitors. This role requires exceptional organizational skills, professionalism, and the ability to handle sensitive information with confidentiality and discretion.

Reception Duties:

  • Greet and assist visitors, clients, and employees professionally and courteously.
  • Answer and direct incoming calls, take messages, and provide general information as needed.
  • Maintain a clean, organized, welcoming front desk/reception area.
  • Manage incoming and outgoing mail, deliveries, and packages.
  • Maintain supplies inventory for HR and front office, order and track supply orders.

HR Administrative Support:

  • Enter and maintain accurate employee data in HRIS systems.
  • Collaborate and support the Workforce Acquisition Specialist, the HR Operations Coordinator, and the Employee Experience Specialist as needed.
  • Provide support to the training and development department as needed
  • Assist with onboarding and offboarding processes, including preparing new hire packets, scheduling orientations, and collecting documentation.
  • Maintain and organize employee personnel files, ensuring confidentiality and compliance with company policies.
  • Provide clerical and administrative support to the HR team, including scheduling meetings, preparing documents, and managing calendars.
  • Track and monitor license renewals, certifications, and required employee documents.
  • Generate reports and facilitate HR generated reports for the agency programs.

WHAT YOU WILL NEED:

  • Must have a High School Diploma or equivalent with two (2) years of experience in an office environment and one (1) to three (3) years of administrative or HR support experience, preferably in a receptionist or office support role.
  • Strong interpersonal skills and customer service mindset.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain confidentiality, exercise good judgment, and handle sensitive information.
  • Effective verbal and written communication skills
  • Ability to work in a dynamic and occasionally stressful environment.
  • Willingness to work overtime when required.
  • Ability to lift and/or carry supplies, equipment, or files up to 25 lbs. as necessary.
