General Job Description

Working as an integral member of the Accounting Department, the Accounts Payable Accountant ensures accurate and timely payment of expenses. Reports to the Accounting Supervisor and works closely with the Purchasing Coordinator, contributing to the integrity of financial reporting by carefully allocating expenses to various programs and departments. Communicating with Agency Management, ensures proper authorization of expenses, timely distribution of payments, and compliance with reporting requirements.

Education

QUALIFICATIONS

  • Associate’s degree in accounting or related field preferred.

Other

  • Five to seven years related experience in accounting or combination of education and work experience.
  • Reasoning, math and language skills sufficient to accurately record expenses with numerical aptitude and detail-oriented characteristics.
  • Demonstrated proficiency with Microsoft Excel required.
  • Experience with an Automated Payables System preferred.

Duties And Responsibilities

  • Process accounts payable invoices to include new vendor setup, verification, coding and input into accounting system payable module, and importing credit card transactions details. Identify checks selected for payment based on vendor terms, discounts, avoidance of late fees/penalites, customer requests, or employee reimbursement, balancing with cash available. Prepare and distribute checks. Maintain filing of documents. Prepare journal entries for reclassification of accounts payable entries as needed.
  • Investigate and resolve accounts payable issues. Respond to inquiries from staff and vendors. Reconcile vendor statements.
  • Respond to requests for credit applications.
  • Ensures Agency allocation is updated and accurate in Accounts Payable distribution tables.
  • Prepare and transmit Form 1099 and related forms to meet year-end tax requirements.
  • Assist auditors by preparing quarterly audit schedules and monthly reconciliations as assigned. Monitor outstanding checks and void/reissue stale checks.
  • Document procedures for critical functions.
  • Serve on Agency committee(s) as appointed.
  • Provide documentation to CEO Admin to support the expenses of the President/CEO travel, dining, gifts, events and other discretionary charges on a quarterly basis.

Supplemental Duties

  • Ensure security of all accounting records and payroll data to maintain confidentiality.
  • Prepare and scan accounting records for permanent storage.
  • Deliver and/or pick up documents to/from various locations using own vehicle.

Environmental Conditions

  • Moderate noise (i.e., business office with computers, phone, and printers, light traffic).
  • Ability to work in a confined area.
  • Ability to sit at a computer terminal for an extended period.

Physical Requirements

  • While performing the duties of this job, the employee is regularly required to, stand, sit; talk, hear, and use hands and fingers to operate a computer and telephone keyboard, reach, stoop, kneel to install computer equipment.
  • Specific vision abilities required by this job include close vision requirements due to computer work.
  • Light to moderate lifting in required.
