SUMMARY: Responsible for planning and coordinating the work conducted by the business office and reception staff to provide optimal quality and maintain compliance with fiscal guidelines and regulatory agencies.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
- Oversees all aspects of resident billing conducted by the facility including private pay, Medicare, Medicaid and other third party insurers.
- Meets with residents and/or resident representatives of newly admitted residents to review financial arrangements and provide assistance in completing applications for the Medicaid program as necessary.
- Develop on-going relationships with Medicaid case workers and Area Agency on Aging to maintain current standards of practice for Medicaid process.
- Organizes financial documents and consents for residents.
- Process monthly invoices, coordinate resident accounts, monitor and follow-up on past due notices for unpaid accounts.
- Analyzes, organizes and supervises office operations and procedures such as typing, bookkeeping, preparation of payrolls, flow of correspondence, filing, requisition of supplies, and other clerical services.
- Oversees schedules and forms prepared by AP and AR staff as directed by the CPA for accounting and cost report preparation.
- Maintains appropriate compliance with regulatory agencies in respect to functions completed by business office staff.
- Coordinates activities of various clerical departments or workers within department.
- Supervises the day and evening reception staff.
- Manages and controls departmental resources keeping within budget guidelines.
- Orders departmental supplies keeping with established Jewish Home purchasing and receiving policies.
- Participates in the Quality Assurance Program and manages business office departmental QA plan.
SUPERVISORY RESPONSIBILITIES:
Manages 8-10 full and part time business office and reception staff.
Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems.

SPECIAL REQUIREMENTS:
Knowledge of and skill in using personal computers and related software for word processing (such as Word), spreadsheet (such as Excel), presentations (such as Power Point) and electronic mail (such as Outlook), and software applications.
Prior experience in Point Click Care software preferred.
Be able to work with minimal supervision.
Ability to work and maintain confidential information.
EDUCATION and/or EXPERIENCE:
EDUCATION: High school diploma or GED is required. Preference to 2 or 4 yr. college degree.
EXPERIENCE: Considerable business management and accounting experience, some of which shall have been in a supervisory capacity and graduation from a college or university of recognized standing with course work in business administration or accounting; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities. At least 2 years or more experience preferred.
LANGUAGE SKILLS:
Ability to read and interpret documents such as operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively with residents and/or family members or employees of the organization. Customer service skills.
MATHEMATICAL SKILLS:
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
REASONING ABILITY:
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
