The 14th Street Y is a vibrant Jewish community center located in Downtown Manhattan. Each year, tens of thousands of New Yorkers of all ages, races, and ethnicities come to 14Y as members, visitors, or partners to experience our high quality and varied programs centered around arts and culture, early childhood education, summer camps, fitness and aquatics, Jewish life, and older adult services.
We are seeking a part-time Aquatics Administrator to perform a variety of administrative and clerical tasks. The duties of the Aquatics Administrator include providing support to managers and employees, assisting in daily office needs and managing our company's general administrative activities.
RESPONSIBILITIES
- Answer and direct phone calls
- Organize and schedule appointments
- Plan meetings and take detailed minutes
- Write and distribute email, correspondence memos, letters, and forms
- Assist in the preparation of regularly scheduled reports
- Develop and maintain a filing system
- Update and maintain office policies and procedures
- Order office supplies and research new deals and suppliers
- Maintain contact lists
- Arrange and book private lessons
- Act as the point of contact for internal and external clients
- Liaise with Director and Coordinator to handle requests and queries from senior managers
- Provide excellent customer service to all program participants
- Build strong relationships with families while advancing the core mission and values of the 14th Street Y
- Maintain all necessary aquatics related certifications in accordance with the DOH
- Attend staff meetings and trainings as required
- Perform special projects and other duties as assigned
QUALIFICATIONS
- Proven experience as an Administrative Assistant or Office Admin Assistant
- Knowledge of office management systems and procedure
- Working knowledge of office equipment, like printers and fax machines
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High School degree; additional qualification as an administrative assistant or Secretary will be a plus
- Be available for up 20 hours per week
