Early Childhood at Manny Cantor Center is helping to build a vision for progressive education on the Lower East Side. Inspired by progressive preschools around the world, we believe that all children learn through inquiry, exploration and play in the context of strong relationships and a sense of belonging.
We are seeking a full time Program Coordinator who will provide critical support to families, teachers and staff as well as facilitate the day-to-day operations of our school. Through partnering with teaching staff and administration, the Program Coordinator will support operations, data entry and workflow functions for Eastly Childhood programs. The Program Coordinator will ensure full compliance with applicable, local, state and federal regulations and lawed that govern Educational Alliance programs and facilities, including permit applications, recertification audits, and site inspections.
RESPONSIBILITIES
Enrollment, Registration and Compliance Paperwork
• Support families through the enrollment process by assisting them in completing all required paperwork for registration
• Collaborate with the Director of Operations to ensure all documents have been submitted for health and wellness compliance
• Document fires drills and lockdowns
• Work with the Director of Operations to complete any school operations tasks as necessary
• Maintain a binder of incidents report and ensure proper and complete documentation.
Interactions with Staff, Children and Families
• Build respectful relationships with families and answer any questions about program services and supports
• Maintain and adhere to confidentiality practices and the responsibilities of Mandated Reporting
• Collaborate with the Admissions Manager to plan and execute one school wide family event each quarter and support family engagement initiatives
Administrative Support
• Manage and maintain current physical and digital files for all children.
• Update family case notes, class rosters and attendance as needed
• Support day-to-day administrative operations of the Early Childhood program, including answering phones, filing, faxing, supply inventory, and greeting guests
• Create and translate flyers, forms and mass emails to provide information about program events and relevant opportunities to families
• Work with the Data Manager to complete any vendor portal updates, record attendance, and enroll students
• Ensure all information in Child Plus is accurate and up to date
Other
• Attend staff meetings, professional development, program enrichment and other events as assigned (sometimes outside of work hours)
• Perform other duties as assigned
QUALIFICATIONS
• Bachelors Degree and knowledge of Early Childhood Education preferred
• Experience in school operations and working with families of diverse socio-economic backgrounds required
• Knowledge of DOH, Head Start or NYCDOE regulations and policies preferred
• Excellent interpersonal, verbal and written communication skills
• Ability to read, write, and communicate in English
• Strong document management and maintenance skills
• Strong knowledge of MS Office Suite and advanced computer literacy
• Bilingual in English/Spanish or English/Chinese (Mandarin or Cantonese) a plus
