The Center for Recovery and Wellness takes a holistic, strengths-based approach to recovery and wellness that responds to the distinct needs of each individual. Programs include residential and outpatient addiction treatment, recovery services, prevention education, and community programming. CRW offers culturally competent, evidence-based programs and services that strengthen individuals and communities, enhance resiliency, and foster lasting recovery.
We are seeking an experienced full-time Fiscal Coordinator to effectively manage financial activities and to ensure all financial activities fall within funder and agency guidelines. The Fiscal Coordinator will provide ongoing support for all budget and forecasting related functions as well as billing and financial systems. This includes budgeting, reforecasting and management of government and private insurance funding to ensure that all activities fall within funder and agency guidelines.
RESPONSIBILITIES
Financial & Budget Support
- Assists the Managing Director of New Business and Special Projects in designing, implementing, and monitoring program budgets to ensure alignment with organizational and grant requirements.
- Collaborate with CRW Directors, Department Heads, the Senior Budget Analyst, and Finance staff at the Educational Alliance to coordinate program expenses, revenue billings, and budget allocations.
- Strong Knowledge and maintain positive working relationships with funders, regulators, coalition partners, Medicaid providers, and government agencies (e.g., NYC DOHMH, NYS OASAS, NYS DOH, SAMHSA, HRA) to support fiscal and program operations.
- Track and coordinate all revenue streams with Sr. Budget Analyst at EA Finance and administrative staff at CRW.
- Oversee tracking of all billings and receivables prepared by other CRW staff, including determining if further action on any item is required.
- Assists with monthly financial statements, variance reports (budget vs. actual), and forecasting, ensuring alignment with CRW’s strategic goals. Analyzes and explain variances to identify drivers of expenses and collaborate with program directors to make necessary adjustments.
- Work with external software providers such as Millin, Sigmund, etc., to ensure software and programs are working properly and providing most productive information in proper format.
- Coordinate, develop, prepare, and submit annual operations plan and budget, serving as liaison with the Sr. Budget Analyst of the Finance Department at Educational Alliance and the ED and management team at CRW.
- Reconcile and perform grant closeout functions required by contracts administration and sponsors.
- Ongoing collaboration with Sr. Budget Analyst on program expenses and revenue billings against approved budget.
- Work with Finance staff in the entry of the approved budgets into Intacct as well as ensure proper allocation and phasing of grant related costs.
- Ensure all compliance and requirements regarding all funding sources are met throughout the funding cycle.
- Assist with tracking all capital projects and ensure timely receipt of processing invoices.
- Review payroll allocations on a consistent and timely basis under the guidance of the Managing Director of New Business and Special Projects.
- Prepare ad-hoc reports for Sr. Budget Analyst and ED and management team at CRW.
- Assist with the annual external audit and preparation of the CFR. Prepare schedules and reconciliations as required.
Compliance & Reporting
- Helps ensure compliance with all funding and grant requirements throughout the entire lifecycle of grants and contracts.
- Supports the development, preparation, and submission of the annual operating plan and budget, serving as a liaison between CRW leadership, the Finance Department, and external partners.
- Assists in preparing ad-hoc reports, schedules, and reconciliations for the Managing Director, Senior Budget Analyst, and Executive Director.
- Participates in annual audits and CFR preparation by gathering necessary documentation and reconciling grant activity.
QUALIFICATIONS
- Bachelor’s degree in accounting, Business Administration, Finance, or related field required
- 3 or more years of relevant experience strongly preferred.
- Experience managing and oversight of government grants, including budgets, purchasing, contract compliance and data collection and management required.
- Experience managing NYS OASAS or OMH contract programs, and various platforms and software to provide efficacy in management of these programs.
- Proven, leader with the ability to set team goals and prioritize daily operations and projects.
- High proficiency with MS Word, MS Excel, and Intacct a plus
- Non-profit experience preferred, with prior work in health care setting desired.
- Ability to function independently, attention to detail, work under pressure, and complete tasks on time.
- Advanced data analysis skills
- Strong analytical skills, including financial modeling and data analysis.
- Effective, persuasive written and verbal communication skills.
- Knowledge of healthcare finance, particularly Medicaid reimbursement and compliance.
- Knowledge of billing.
