Program Administrator, Volunteer Recruitment and Engagement

DOROT is headquartered on the Upper West Side of Manhattan and the team works on a hybrid schedule. The Program Administrator will be expected to be in the office two (2) days per week, Mondays and Wednesdays, and as business needs require.

ABOUT THE VOLUNTEER SERVICES DEPARTMENT
DOROT leverages volunteers and their skills across all levels of the organization to successfully deliver on our social mission. Each year, we mobilize 6000+ volunteers of all ages through a wide array of programs conducted on-site, in the home, remotely and in the community. The Volunteer Services Department staff is responsible for recruiting, onboarding and engaging volunteers to fill roles throughout the agency. In addition, the team executes and manages a number of volunteer programs and events.
THE OPPORTUNITY
The Program Administrator, Volunteer Recruitment and Engagement is an integral member of DOROT’s Volunteer Services team, playing a key role in ensuring that volunteers are effectively recruited, welcomed, and supported across the organization.
Reporting to the Manager of Volunteer Recruitment and Engagement, this multi‑functional position combines administrative coordination with hands‑on program support. The Program Administrator contributes directly to the success of DOROT’s volunteer onboarding process and supports several core volunteer initiatives, including but not limited to the College Internship Program, Package Delivery Programs, Volunteer Recognition events.
PRIMARY RESPONSIBILITIES
- Be a thoughtful contributor to the Volunteer Services team, helping to meet department goals and to ensure excellence in operations and program delivery.
- Act as the first point of contact for the Volunteer Services Team by answering inquiries from prospective and existing volunteers through a centralized email account and responding to general inquiries via phone.
- Play an integral role in volunteer onboarding by:

- Ensuring orientation script and slides are up to date.

- Co-facilitating Orientation and Information sessions on a monthly or bimonthly basis.

- Completing data entry and follow up with prospective volunteers following each session.

- Processing clearance of background checks for new volunteers.

- Communicating regularly with program staff to share updates about prospective volunteers’ onboarding progress.
- Post volunteer and college internship opportunities on local and national recruitment websites.
- Assist with Package Delivery follow‑up, including reviewing volunteer feedback, routing key information to appropriate colleagues, and sharing event photos with Marketing.
- Interview college intern applicants, schedule internship orientations and assist with candidate communication.
- Assist with volunteer and college intern recruitment by representing DOROT at recruitment fairs, as needed.
- Execute internal processes that ensure the timely and targeted collection of metrics and narratives aligned with program goals and grant deliverables.
- Collect and track constituent information and program participation, import relevant information into DOROT’s database (Salesforce platform), and maintain accurate and thorough records, spreadsheets, and program files.
- Assist with planning Volunteer Appreciation events.
- Complete other projects as assigned.
REQUIRED SKILLS AND QUALIFICATIONS
- A minimum of 1 year of professional experience and/or related experience working with volunteers, older adults, and/or non-profit organizations
- Demonstrated ability to proactively solve problems and to work independently and as a collaborative team member
- Passion, warmth and sensitivity for DOROT’s mission
- Strong organizational, administrative, and multi-tasking skills with keen attention to detail
- Exceptional customer service skills
- Clear written and verbal communication skills
- Proficient in use of MS Office Suite, primarily Word and Excel
- Experience with Salesforce data entry and knowledge of databases a plus
- Comfort learning new online tools, including JotForm
- Ability to work 10-12 evenings and 4 Sundays per year for volunteer orientations/events and agency-wide Package Delivery programs per year

This position is non-exempt, and candidates can expect an annualized base salary between $45,000-$48,000 commensurate with experience.
