LOCATION AND SCHEDULE

This is a part-time position working 18 hours per week, Monday-Thursday. You will work on a hybrid schedule, primarily Mondays and Wednesdays in our headquarters on the Upper West Side of Manhattan; Tuesdays and Thursdays you will work remotely with the occasional need for flexibility when business needs dictate.

ABOUT THE VOLUNTEER SERVICES DEPARTMENT

The Volunteer Services department plays a crucial role in fulfilling DOROT’s mission by facilitating meaningful connections between older adults and volunteers. The department oversees all aspects of volunteer engagement, including management systems and policies, recruitment, orientation, onboarding, training, and recognition. It also tracks volunteer statistics and outcomes to support DOROT’s efforts in measuring program impact. The Volunteer Services portfolio also includes a variety of programs such as Package Delivery, Cemetery Visits, Response Team, and Caring Calls.

THE OPPORTUNITY

Reporting to the Manager of Volunteer Services, the Program Administrator is a multi-functional position that performs a combination of administrative and programmatic responsibilities that are integral to the success of the Volunteer Services department. This position will primarily help coordinate and implement key components of our Package Delivery, Cemetery Visits and Cardmaking programs and will also contribute to additional programs within Volunteer Services, based on the needs and overall goals of the department.

PRIMARY RESPONSIBILITIES

  • Serve as a primary liaison to prospective and participating older adults and volunteers with responsibility for responsibilities including:
    • Registering older adults and volunteers for programs and processing registration forms submitted via phone, email, online, or mail.
    • Responding to questions from older adults and volunteers about upcoming programs; ensuring that older adults are eligible for specific program offerings.
    • Staffing program activities as needed.
    • Sending confirmation letters/emails and reminder calls.
    • Managing communication templates/forms (i.e., JotForms, etc.).
    • Soliciting, monitoring, and recording program feedback.
  • Provide administrative and logistical support including, but not limited to:
    • Assisting with and/or executing set-up for events.
    • Managing inventory and supply orders, including tracking the receipt of materials and documentation of expenses.
  • Provide task supervision for office volunteer(s).
  • Collect, track, and enter constituent information, program participation, and other relevant information into DOROT’s database (Salesforce)
  • Maintain accurate and thorough records, spreadsheets, and program files to support program operations and data analysis.
  • Other projects and tasks as assigned.

REQUIRED QUALIFICATIONS

  • A minimum of 1 year of administrative experience and/or related experience working with volunteers, older adults, and/or non-profit organizations
  • Demonstrated ability to solve problems, work independently, and be a collaborative team member
  • Strong organizational, administrative, and customer service skills
  • Clear written and verbal communication skills
  • Availability to work 4 Sundays per year for agency-wide Package Delivery programs (Package Delivery Dates over the next 12 months include September 14, November 23, January 25, and March 22)
  • Proficient in use of MS Office Suite, primarily Word and Excel
  • Demonstrated experience with data entry and knowledge of databases required; Salesforce experience a plus

This is a non-exempt, part-time position and candidates can expect an hourly rate of $25.00-$26.35.
