Full job description
The Massry Residence assisted living at Daughters of Sarah Senior Community, is seeking applicants for a Full-Time Administrative Assistant.
The Administrative Assistant is responsible for new admissions management as well as secretarial duties that include scheduling external medical appointments and transportation for residents, and provide backup assistance to the Receptionist/Switchboard.
Duties
1. New Admission Management:
- Prepares chart including face sheet and admission paperwork
- Prepares door tag
- Ensures keys and pendant are ready
2. Unit Receptionist Duties:
- Welcomes residents, visitors, and other staff to the unit
- Responds to residents and visitor questions
- Answers telephones and directs as appropriate
- Answers call lights as needed for a non-medical need
3. Physician Visits:
- Maintains physician visits and renewal of the schedule
- Prints physician's renewal orders
4. Scheduling Function:
- Schedules outside medical appointments
- Schedules transportation
- Ensures family or staff are scheduled to accompany resident
- Plans for bag meal if necessary
- Facilitates payment, if applicable
- Ensures paperwork is prepared
- Communicates all information to family and staff
5. Clerical Function:
- Collects and distributes interdepartmental mail and memos
- Mails out care conference letters
- Photocopies as needed
- Ensures office supplies are available
- Prepares medications for return and credit to pharmacy
6. Switchboard Function:
- Provides coverage to switchboard per schedule
7. Performs Audits:
- Audits resident face sheets in charts
- Audits annual medical evaluations
- Performs other audits as requested
8. Customer Service:
- Upholds resident's Bill of Rights
- Responds kindly and sensitively to all staff, residents and visitors
- Demonstrates good customer service skills to internal and external customers
- Maintains professional and courteous interactions with all co-workers and staff
Physical Requirements:
Normal Office, lifting up to 20 lbs as part of office activities.
Personal Requirements:
The ability to read, write, speak and understand English; good communication skills; sound mental and physical health; to work as a member of a team; to demonstrate a high level of sensitivity in people, especially older adults; must have patience, tact and cheerful disposition.
