Bookkeeper- Part-Time
JOB SUMMARY: The Bookkeeper is responsible for maintaining accurate financial records and supporting the financial operations of the congregation. This role manages accounts receivable, supports accounts payable and payroll functions, and works closely with the Director of Operations and Chief Engagement Officer to ensure timely billing, collections, reporting, and compliance with financial policies and procedures.
ESSENTIAL JOB FUNCTIONS:
1. ACCOUNTS RECEIVABLE
a. Make reminder calls and send reminder emails to collect on delinquent accounts.
b. Refer serious delinquencies to the Director of Operations and Chief Engagement Officer for further action.
c. Assist the Director of Operations in monitoring and managing delinquent membership accounts.
d. Prepare and process invoices, receipts, and payments.
e. Review payment transactions and resolve posting discrepancies, ensuring accurate financial records.
f. Process and send membership invoices.
g. Process payments and prepare deposits.
h. Cross check incoming grant funds.
2. ACCOUNTS PAYABLE
a. Receive, review, and verify invoices from vendors and service providers.
b. Enter and classify invoices in the accounting system (RAMP).
c. Process vendor payments in accordance with approved schedules and internal controls.
d. Maintain accurate and up-to-date vendor files.
3. FINANCIAL SOFTWARE & SYSTEMS
a. Serve as a primary user for the congregation’s accounting system (e.g., QuickBooks & Ramp).
b. Enter, review, and maintain financial data in QuickBooks and related systems (e.g., Shulcloud & Ramp).
c. Ensure accurate integration of financial data between accounting and membership/donor management systems.
d. Maintain organized digital and hard-copy financial records in accordance with internal polices.
4. RECONCILIATION & REPORTING
a. Reconcile bank accounts, credit card accounts and other balance sheet accounts on a monthly basis
b. Prepare regular financial reports
c. Identify discrepancies and work proactively to research and resolve variances
d. Assist the Director of Operations with financial analysis and reporting as needed.
5. PAYROLL & TAX SUPPORT
a. Assist with payroll processing by preparing payroll data and coordinating with payroll service providers
b. Maintain payroll and benefit-related records
c. Assist with preparation of documentation for audits, tax filings, and required financial reports
d. Support preparation and distribution of tax statements for members, donors and venders as needed.
6. COLLABORATION & COMMUNICATION
a. Work closely with the Director of Operations, Chief Engagement Officers, clergy and staff to support financial operations.
b. Communicate professionally and discreetly with members regarding billing and payment inquiries.
c. Maintain confidentiality of all financial and member information.
7. FINANCE COMMITTEE SUPPORT
a. Attend monthly Finance Committee meetings to assit with financial reporting and answer questions from committee members regarding financial statements, transactions, and bookkeeping process.
8. OTHER DUTIES
a. Provide administrative support to the Management Team for major events and special projects as needed.
PHYSICAL REQUIREMENTS:
1. The Bookkeeper is required to operate a motor vehicle and must have no medical conditions or be on any prescription medication that impairs ability to operate a motor vehicle in a legal and safe manner during working hours.
2. Must be able to work in all weather conditions (heat, cold, rain, snow, and ice).
3. Must have a tolerance for working outside in high temperatures (over 100 degrees).
ADDITIONAL REQUIREMENTS:
1. Must have exceptional verbal communication skills and must be able to communicate with members and non-members.
2. Must have exceptional writing skills and be able to create, edit, proofread, and ensure accuracy of information presented.
3. Knowledge and understanding of Conservative Judaism and the local Jewish community is a strong advantage.
4. Must have proficiency in understanding and learning computers, software, and social media, including Microsoft Word, Excel, Google, Outlook, Canva, Adobe Creative, Google Suites, Constant Contact, Facebook, Instagram, TikTok, and other platforms.
5. The ability to execute short-term, deadline-driven daily tasks, as well as manage multiple long-term projects requiring input and collaboration with others.
6. Must gain or have proficiency in the Synagogue’s management software.
7. Must be punctual and maintain an acceptable attendance record.
8. Must be able to work in the office as this is not a remote or work from home position.
9. Must adhere to Agudas Achim’s Policies and Procedures.
10. Must have a personal vehicle that can be used for performing essential job functions and must maintain liability insurance for use of the vehicle at work.
11. Must have a valid Driver’s license and maintain an acceptable driving record. If issued from other than the State of Texas, a valid Texas Driver’s license must be obtained within 30 days from date of hire.
12. Must be able to read and understand operation and safety information for items that are to be maintained.
13. Must have command of the English language.
14. Must be able to perform simple math calculations.
15. Must be able to work flexible schedule including weekends.
16. Must be able to be available for on-call duties.
EDUCATIONAL REQUIREMENTS:
• Must have a high school diploma or equivalent.
