This position supports operations of the Aquatics Dept. by planning, organizing and implementing administrative systems. Which includes setup, design and maintenance of the program registration for the Aquatics Dept.

The Administrative Assistant performs program registrations/enrollments, tracking and reporting of program participants, handling incoming calls/emails and in general, providing a high level of customer service interfacing with Commonpoint member families and the general public.


Essential Duties:
○ Register participants for the Aquatics programs. This includes collecting documents and payments, parent follow-up, etc.
○ Answer phones, check and return messages, check and respond to emails and assist walk-in customers in a timely manner (if and when you are in-person).
○ Assist in the management of the Private and Semi private Swim Lessons
○ Assist in handling billing, payment plans, refunds and collections.
○ Monitor enrollment numbers
○ Assist with camp fairs, open houses and other promotional events.
○ Ordering supplies as needed.


Qualifications:
1. Bachelor’s Degree preferred or 3 years equivalent experience.
2. Must possess an understanding of computer systems, program set-up, spreadsheets, accounting procedures, and good business practices.
3. This position requires the ability to communicate effectively with a variety of customers as well as the ability to manage multiple tasks and deadlines with minimal supervision.
4. Experience in data management, customer service and & general office functions.
5. Must be flexible and adaptable. Weekly schedule may include one weekend
(Friday & Saturday) day and some evening hours.
