OPERATIONS:
● Front desk and switchboard coverage, answer all incoming calls, emails, and handle a high volume of client traffic, including appointments and walk-ins. Track all client call-ins and walk-ins.
● Manage the check-in process and ensure that clients are directed to the appropriate staff member in a timely fashion.
● Manage all donation referrals, donation inventory, and the organization of the donation closet.
● Coordinate food pantry distribution to clients.
● Coordinate the ordering of all office and program supplies with program staff, and monitor.
● Manage the hub room reservation system.
● Monitor shipments to ensure that goods come in on time, and in the event of problems, trace shipments and follow up on undelivered goods. Ensure packing slips are collected and filed appropriately.
● Ensure the cleanliness of the reception desk and lobby.
● Serve as backup for all administrative processes as needed.


PROGRAM:
● Collaborate with the operations manager and program directors to support operations of hub programming.
● Collaborate with employment coordinators to facilitate workforce client orientation.
● Conduct in-depth client intake and assessment and administer assessment exams, including TABE. Input all client information into the Salesforce system.
● Refer clients to appropriate programs and staff members, track all referrals and follow up in Salesforce.
● Complete administrative tasks for hub programs.
● Assist clients with all program inquiries and questions, provide assistance as needed.
● Collaborate with operation managers and program staff to coordinate and oversee funder and stakeholder events and visits.
● Conduct preparation functions for agency, department and program events, such as scheduling rooms, ordering refreshments, supplies, as needed.
● Work closely with the operation managers and Senior Director of workforce on high level program projects and tasks as they arise.
● Maintain computerized records of equipment purchased, in accordance with audit and funder mandates when and where appropriate.
● Serve as an intermediary between program staff and operation manager, intake, and referral matters.
● Reconciliation of department receipts, including accurate coding and record keeping.
● Develop and maintain fiscal spend down trackers and manage all hub program check requests and purchase orders.
● Send out timely reminders to departmental staff regarding agency and programmatic deadlines, building updates, and policy updates.

● Assist in the proper upkeep of the Client Management System for hub programs and work with program staff to ensure that data is accurate, entered and complete.


EDUCATION, EXPERIENCE, AND REQUIRED COMPETENCIES
● Bilingual, Spanish or Chinese required.
● High School Diploma or GED is required.
● Preferably 3–4 years of administrative experience that includes administrative work in an high-paced office setting.
● Excellent customer service and organizational skills.
● Ability to work efficiently and effectively under pressure to meet production deadlines in high volume environment.
● Demonstrate cultural competency through familiarity in working with people from a very diverse number of backgrounds.
● Must have excellent interpersonal skills, as well as verbal and written communication skills.
● Excellent computer skills, including experience with Salesforce, Microsoft Office and Google applications (Gmail, Calendar, Contacts, Docs, Sheets, etc.).
