The Claims Conference is hiring an Administrative Assistant in the Allocations department. As an Administrative Assistant you will provide support in a wide array of functions across the department, including managing mail distributions, reporting, working closely with team members on projects and communicating with different grantee agencies. As part of the Allocations team, you will have the opportunity to build effective department relationships by delivering end-to-end service while learning more about the grants and budgets process for our unique and important mission.

Since our founding in 1951, the Claims Conference has secured more than $90 billion from the German government in indemnification for Survivors.

In 2023, the Claims Conference distributed approximately $625 million in direct compensation to over 260,000 survivors in 83 countries and allocated approximately $900 million in grants to over 300 social service agencies worldwide that provide vital services for Holocaust survivors, such as home care, food, and medicine. Our Research, Education, and Documentation (RED) funds contribute toward global efforts to educate the public and preserve the memory of the Holocaust through teacher training programs, exhibitions, and films such as Son of Saul, an Academy Award winner for Best Foreign Film. At the Claims Conference, we honor history while making history.

Responsibilities:

  • Provide administrative support to management and program staff;
  • Answer phones, basic filing, and general administrative work;
  • Create mail merge letters: monitor status of completion including review by appropriate personnel through to distribution of mailings and confirming receipt back of appropriate documentation;
  • Perform administrative coordination/preparation/ distribution of Board of Directors and various committee materials including Summary of Applications and Recommendations for Funding for the Allocations Committee and the Board of Directors;
  • Support other Allocations department projects as needed;
  • Coordinate meetings;
  • Contact agencies about required paperwork;
  • Draft various internal memos to be circulated to Allocations staff and other CC departments;
  • Perform administrative and data related tasks;
  • Run queries and producing reports as requested;
  • Create and processing travel expense reports for team.

Qualifications:

  • College degree preferred;
  • Microsoft Office skills, notably MS Word and Excel;
  • Knowledge of Fluxx online grants management system or similar system preferred;
  • Strong attention to detail;
  • Collaborative and proactive with a strong sense of ownership over one's work and sense of urgency for the mission;
  • Strong oral and written communication skills.

Claims Conference offers generous benefits, opportunities for professional growth, and competitive salaries based on geographic location. Our target salary range for Administrative Assistant in the New York City market is $50,000-$56,000. This salary range represents Claims Conference’s good faith and reasonable estimate of the range of possible compensation for this role at the time of posting. The final salary for this role will be determined based on careful consideration of a variety of factors, such as the candidate’s exact location, experience in similar roles, and expertise related to the qualifications.
