The Program Coordinator is a hands-on, multifaceted role supporting the West Coast region’s programs and day-to-day operations during a defined temporary assignment period.

This individual serves as a primary in-person support presence for program execution, helping ensure that services, communications, and logistics run smoothly and efficiently. The role supports with volunteer coordination, and provides general office and operational support.

This position plays a key role in strengthening community engagement and ensuring seamless program delivery, while providing real-time, on-the-ground support to Chai Lifeline’s mission of supporting children and families facing serious illness.

RESPONSIBILITIES INCLUDE:

Office Coordination & Program Support

  • Serve as an in-person point of contact to support daily program and operational needs.
  • Assist with ordering meals for clients and families.
  • Coordinate delivery of meals, gifts, and program materials to client families.
  • Maintain receipts and assist with expense tracking and reconciliation in Concur.
  • Create and send invitations, confirmations, and event reminders to client families.
  • Enter and maintain accurate data in Salesforce, ensuring records are current and complete.
  • Track client attendance and participation in Salesforce and generate basic reports as needed.
  • Support planning, coordination, and on-site execution of programs and events.

Volunteer Coordination Support

  • Support volunteer recruitment, onboarding, placement, and matching to family/program needs
  • Help maintain updated volunteer records and compliance documentation
  • Assist with the coordinating of volunteer assignments across programs, school groups, and initiatives
  • Help conduct outreach to schools, shuls, WhatsApp groups, and community networks
  • Assist with recruitment events, info sessions, parlor meetings, and presentations
  • Support the ongoing communication with volunteers to support engagement and retention
  • Provide updates, instructions, and logistical support to active volunteers
  • Support volunteer appreciation efforts and recognition initiatives
  • Help identify and track potential volunteer leaders for follow-up
  • Collaborate with program and case management teams to align volunteer support with family needs

General & Flexible Support (Special Projects)

  • Help maintain and coordinate the Kosher Pantry
  • Provide support for a variety of time-sensitive or evolving operational needs as assigned.
  • Assist with ad hoc projects, including logistical coordination, materials preparation, and follow-up tasks.
  • Help implement office-wide or regional initiatives requiring additional staffing support.
  • Step in to support priority assignments such as pickups, deliveries, event preparation, administrative follow-ups, or other operational needs as they arise.

EXPERIENCE:

  • Education: High School Diploma or equivalent preferred
  • Experience: 2-3 years preferred

  • Ability to multitask and manage shifting priorities in a fast-paced environment.

  • Comfortable working directly with children, teens, families, volunteers, and community members.
  • Proficiency with Microsoft Office, Google Suite, and data systems such as Salesforce.
  • Ability to work independently while also collaborating closely with multiple teams.
  • Professionalism, reliability, and discretion when handling sensitive information.

SCHEDULE:

  • Full-time; Temporary Position (Anticipated July–December 2026)

Position Details

This is a temporary, full-time position beginning in July 2026 and continuing through December 2026. Employment is expected to conclude at the end of the assignment period unless extended based on organizational needs.
