The Position: We are looking for a master organizer with excellent communication skills and an upbeat attitude. Candidates should be able to assist management by handling various office tasks including bookkeeping; working with volunteers and congregants on community and holiday events and projects; conducting outreach to community members and other organizations; and generally being a helpful and positive presence in the workplace.

To be successful, candidates should be professional, polite, and attentive while also being accurate. They should always be prepared and responsive, must be proficient with computers, current technology, general office tasks, and excel at both verbal and written communication. Will need to be flexible in their job duties and have a willingness to take on additional responsibilities. Of primary importance is accuracy and attention to detail on all tasks.

The Responsibilities

· Office Manager/Administrative Assistant:

o Prepare correspondence

o Maintain office supplies

o Manage bulk mailings

o Weekly reporting to Rabbis and Rebbetzins

o Answer phones

o Streamline and enhance efficiencies in office procedures

o Special projects and research

· Bookkeeping:

o Entering donations, payments, and bills into database

o Processing credit card payments

o Sending receipts & letters

o Preparing bank deposits

o Monthly bank and credit card reconciliations with QuickBooks for Chabad of Wilmette and related entities

o Tracking income and expenses for special projects and programs

o Preparing end of fiscal year reports

· Adult Education Coordinator:

o Recruit for Courses, Retreat, Mission to Israel, Shabbatons

o Phone calls to potential students

o Register students

o Manage attendance

o Follow up with CLE accreditation

· Community Liaison:

o Track and manage program responses, rsvps, and reservations

o Maintain website

o Prepare and send out weekly education emails

o Work with Rabbis, Rebbetzins, and families on bar and bat mitzvah scheduling and preparation

o Maintain/grow our congregant database

o Act as bridge between congregants and Rabbis and Rebbetzins, providing updates on lifecycle events, illnesses, celebrations, and general wellbeing

o Staff events when needed

The Requirements:

· Education: Bachelors Degree (in any field)

· Experience: 1-3 years of administrative or support services

· Highly organized

· Pleasant and professional phone manners

· Intermediate to advanced level skills in Quickbooks, Microsoft Office Suite, Google docs, Microsoft Access or similar database management program, Adobe, Canva or similar design program, Dropbox, website management, customer relationship manager, and social media platforms.

· Previous family office and or non-profit experience a plus but not required.

· Must have an understanding of confidentiality

· Excellent verbal and written skills

· Ability to multi-task

· Flexible schedule when needed

The Details:

· Generally 15 hours week, but depending on work load and season hours can reach 20 per week.
