SENIOR EVENT COORDINATOR
Location: Toronto – Hybrid – 2 days in office
Employment Type: Permanent, Full Time
Level: 3 years+ of experience
Salary Range: $52,000 - $55,000
THE ROLE AND IMPACT:
The Senior Event Coordinator reports to the Director, Events and Corporate Sponsorship and works collaboratively with the Marcom, Finance, and Donor Relations teams, as well as volunteers and centre staff across the country. This role supports CHW Toronto Centre and chapter events, in addition to national events held across the country.
This individual is highly organized, a proactive problem solver, and takes initiative to address potential issues before they arise. They are forward-thinking, with the ability to anticipate challenges, plan accordingly, and adapt to evolving scenarios. Strong diplomacy and conflict resolution skills are essential, as is a commitment to volunteer engagement, event logistics, and stewardship. The candidate should also be a strong communicator, able to clearly articulate potential problems and solutions to volunteers, ensuring alignment, transparency, and collaborative problem-solving.
Internally, the Senior Event Coordinator works cross-functionally with various departments; externally, they engage with volunteers, committees, vendors, event participants, sponsors, donors, and other key stakeholders. This position also contributes to the growth and sustainability of the National Events Team, including—but not limited to—signature national events such as Fashion Blooms.
THE IDEAL CANDIDATE:
We are seeking an outstanding individual who brings a passion for supporting healthcare, education, and social services that benefit at-risk women and children in Israel and Canada. The ideal candidate is a seasoned events professional and project manager with strong interpersonal skills, capable of working independently and demonstrating sound judgment under pressure. A self-starter who is highly organized and proactive, they can manage multiple priorities with ease and remain composed in a fast-paced environment. With three+ years of hands-on experience managing complex, revenue-generating events from start to finish, the candidate will bring capability in planning, logistics, stakeholder engagement, budgeting, and post-event evaluation. They will also possess the leadership and ability to effectively engage, coach, and inspire volunteers and stakeholders, while delivering high-impact events that meet both mission-driven and financial objectives.
KEY RESPONSIBILITIES:
· Provide administrative and logistical support to the Events Team, including scheduling, document preparation, and internal coordination.
· Support the Director, Events and Corporate Sponsorships in the planning, budgeting, and development of critical paths for a portfolio of complex, revenue-generating events across the country.
· Lead and support logistics for assigned events from start to finish—including venue and vendor coordination, A/V, catering, travel arrangements, volunteer management, and guest services.
· Oversee database input, reporting, and list generation using Raiser's Edge; maintain accurate registration, sponsorship, and donation records.
· Develop and maintain strong relationships with internal teams, volunteers, suppliers, and external partners, ensuring seamless collaboration and delivery.
· Create and manage online registration forms, crowdfunding pages, and peer-to-peer platforms (e.g., CrowdChange); manage RSVP tracking and guest communications.
· Create and coordinate event materials (e.g., signage, nametags, programs) and post-event follow-up, including thank-you communications, financial reconciliation, and debrief participation.
· Coordinate and participate in committee meetings; contribute to strategic conversations and ongoing process improvement.
· Monitor event budgets, track invoices and expenses, and ensure compliance with CHW policies, and CRA guidelines.
· Demonstrate excellent organizational and interpersonal skills while managing multiple priorities in a high-pressure, deadline-driven environment.
· Availability to work evenings/weekends as required, with occasional travel within Canada, the U.S., and internationally.
· Other duties as assigned.
QUALIFICATIONS:
· A college or university degree and/or postgraduate certification in event management, or an equivalent combination of education and relevant work experience.
· Three+ years of proven success in all aspects of special event planning and execution, demonstrating maturity and professionalism in managing complex, high-profile events.
· Extensive experience working effectively with volunteers and committees within the not-for-profit sector, including supporting and mobilizing senior volunteers.
· A strong track record of designing, coordinating, and executing major revenue-generating events, with deep understanding of philanthropic environments preferred.
· Exceptional organizational, interpersonal, and project management skills, complemented by excellent written and verbal communication abilities.
· Advanced proficiency with Raiser's Edge, Microsoft 365 (Excel, Word, PowerPoint), G-Suite, Asana, peer-to-peer and crowdfunding fundraising platforms—or demonstrated aptitude to quickly master new software systems and digital tools including AI platforms.
· Expertise in program management, including accurate tracking and maintenance of donor and guest event information to ensure data integrity and optimize engagement.
· Strong problem-solving skills and the ability to juggle competing priorities while consistently meeting deadlines in a fast-paced, dynamic event environment.
· Strategic thinker with the ability to work independently and collaboratively within a multi-disciplinary team to drive results.
