Our dynamic and community-centered organization is looking to add a talented, conscientious, and organized Event Specialist to the team. The primary role of this position is to provide extraordinary customer service and serve as point of contact for specific events and overall support for the Event and Rentals Department.

As the Event Specialist, you’ll work most closely with the Event & Rentals Director and within a top-notch Operations Team. As the point person for specific events in the Rental Department, the Rental Event Specialist leads building tours, fields new inquiries, manages client account records, collaborates with caterers and other vendors before and during events, and interfaces with current and prospective clients for the Rentals Department.

This position requires an affinity to work both independently and collaboratively to ensure successful special events from inception to completion. In addition to having a passion for hospitality and customer service, this position depends on your proactive approach to problem solving, the ability to communicate effectively, and to stay graceful under pressure. An ideal candidate has excellent people skills, enjoys helping others, is highly-organized, responsive, professional, has an enthusiastic attitude, and a welcoming personality.

KEY RESPONSIBILITIES:

  • Event Management: Serve as onsite point person during a diverse array of events, including non-profit fundraising galas, corporate conferences, concerts, weddings, and memorial services. Handle event-day logistics and ensure smooth execution while providing radical hospitality to clients and guests.
  • Client Relations & Sales: Manage the full client journey from initial inquiry through event completion. Field calls, conduct facility tours, create proposals based on client budgets, and maintain relationships that drive repeat business. Track leads and opportunities in Salesforce to support business growth.
  • Event Logistics: Coordinate with clients and vendors to develop comprehensive event timelines and floor plans. Partner with the Operations Team to ensure proper setup of infrastructure, coordinate deliveries, and manage post-event breakdown.
  • Administrative Support: Collaborate with the Rentals Department Business Manager on contract processes, including proposals, invoices, insurance certificates, and special event permits. Maintain accurate records and documentation for all events.
  • Hospitality & Community Engagement: Serve as an ambassador for the Boulder JCC, providing exceptional care and attention to everyone who enters our space. Anticipate needs, resolve concerns professionally, and ensure all guests feel genuinely welcomed and valued.
  • Marketing & Research: Work with the Marketing Department and Rental team to promote rental spaces through various channels. Conduct market research to understand competitive positioning and identify opportunities for new service offerings and packages.
Requirements

QUALIFICATIONS:

  • 2 or more years of experience working in a similar capacity
  • Flexibility to non-standard hours including weekends, evenings, and holidays
  • Clear, professional, and effective verbal and written communications with a customer service orientation
  • Work independently with the ability to make sound decisions in the absence of a supervisor
  • Solid computer/database skills, willingness to adapt to new technologies (experience using Salesforce, is a plus)
  • Excellent organization and attention to detail, a strong work ethic, and the ability to work independently and track multiple work streams at once
  • Comfort using and discussing audiovisual equipment including microphones, projectors, speakers, etc. or willingness to learn


COMPENSATION:

This is a full-time, non-exempt position with an hourly range of $20.71-$22.41 commensurate with experience.
