Job Summary
The Programs and Systems Specialist is a vital, multi-faceted role responsible for the seamless execution and administrative support of programs, events, and the functional integrity of key administrative systems. A considerable amount this position will support Arts, Culture and Education programs and events. This position acts as the central hub for coordination, technology management (specifically Salesforce and Amilia), and logistical operations. The Specialist ensures high-quality customer experiences, maintains accurate data records, and provides essential support to the Program Team.
Essential Duties/Responsibilities
- Serve as a thought partner in program development related to arts, culture and education offerings.
- Lead staff person for the program registration system and its database interaction.
- Customer service to support internal and external customers of our programs.
- Support data uploads and report management for program directors to access data.
- Manage Docusign and contracts for program directors.
- Communicate with program participants before and after programs.
- Assist program directors with space booking, room set up and layout design.
- Support Directors with program operations including set up and check in.
- Serve as the point of contact between the program team and our regular vendors that manage catering and audiovisual needs.
What You'll Do:
Keep Our Community Connected. You'll be the backbone of our program operations, managing data in Salesforce, maintaining accurate records of community interactions, and preparing materials for grant reporting throughout the year. As our primary contact for registration questions, you'll guide members through the process while training our staff to do the same.
Orchestrate Our Spaces. You'll manage bookings, resolve scheduling conflicts, and ensure every room is set up perfectly for its purpose. You'll also join the team selecting our next booking software—your input matters!
Bring Programs to Life. When programs happen, you'll be there coordinating catering, managing supplies, and creating that welcoming JCC atmosphere everyone loves. You'll handle the behind-the-scenes logistics—from liquor permits to refund requests—while providing hands-on support at ACE programs, art classes, and Exchange Program events.
Keep Everyone in the Loop. Communication is key in this role. You'll manage our DocuSign account, partner with Marketing on website needs, and keep participants informed with timely reminders and follow-up surveys. You'll also collect data for grant reporting and continuously suggest improvements to make our systems work better.
Support Our Volunteer Leaders. You'll staff the ACE and Exchange Committees, keeping meetings organized and running smoothly.

COMPENSATION:
This is a full-time, non-exempt position with an hourly range of$20.71-$22.41 per hour commensurate with experience.
