Position Summary

The Business & Special Projects Manager plays a vital role in advancing BJE’s mission by supporting C-Suite leadership with clarity, connection, and purpose. This position serves as a trusted partner to executive leadership and a bridge among staff, Board members, and external stakeholders.

The role combines high-level administrative, financial, and operational support with leadership of special projects and cross-functional initiatives that strengthen organizational culture, enhance operations, and drive mission impact.

Essential Duties and Responsibilities

Ø C-Suite Operational and Fiscal Support:

· Manage BJE operations in consultation with C-Suite Officers, supporting special projects and strategic initiatives that advance the organization’s mission and operational effectiveness

· Enhance operational efficiency by collaborating on financial and human resources initiatives, including tracking and analyzing key performance metrics, preparing executive-level reports and presentations, supporting benefits administration and open enrollment, organizing the insurance renewal process, strengthening compliance through research and policy updates, supporting annual audits, assisting with contract reviews, participating in fiscal office-related committee meetings, preparing necessary materials, and supporting accurate and timely accounts payable operations

· Manage office operations and systems to ensure an organized, efficient, and safe work environment, including overseeing the mail system, supply and equipment orders, copy room, kitchenette, filing system, emergency procedures, IT coordination, security protocols, and technology platforms; develop new systems and manage upgrades where needed

· Provide high-level administrative support to C-Suite, including meeting coordination and logistics, calendar management, travel arrangements, and expense management

· Serve as a trusted liaison between executive leadership and internal staff, board members, donors, and external partners, fostering clear communication and strong working relationships

· Plan, coordinate, and support executive-level and staff retreats, meetings, and training, including agenda development, materials preparation, and meeting logistics

· Collaborate with colleagues across departments and other agencies to support organizational culture, equity, and alignment with nonprofit values

· Conduct research, prepare summaries, and develop recommendations to support executive decision-making

· Handle sensitive and confidential information with discretion, professionalism, and sound judgment

Minimum Qualifications (Education, Experience, Certifications, Skills)

Education:

· BA or BS required, or equivalent experience

Experience:

· A minimum of five years of relevant experience, preferably in a nonprofit setting

Knowledge and Skills:

· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and Adobe products

· Basic and developing proficiency in using AI for research, document creation and operational efficiency, with the ability to discern when AI-generated content is incomplete, inaccurate, or inappropriate for the task, and to apply human judgment accordingly

· Familiarity with office equipment and basic IT troubleshooting

· Keyboarding at 60 wpm with accuracy

Soft Skills:

· High level of integrity, discretion, and sensitivity in handling confidential information

· Strong organizational and time-management skills, with the ability to manage multiple tasks and meet deadlines in a fast-paced environment

· Excellent verbal and written communication skills for collaborating with colleagues, external stakeholders, and leadership

· Analytical mindset with strong problem-solving skills and meticulous attention to detail

· Resourceful and flexible, able to work independently while supporting a team and contributing to overall organizational goals

· A learner’s mindset, motivated to try new tools and methods, and comfortable using technology and AI to optimize productivity

Preferred Qualifications (Education, Experience, Certifications, Skills)

· Familiarity with Judaism, Jewish Los Angeles, and very basic Hebrew is a plus but not required

· Familiarity with or the ability to learn Zoom Communications, Salesforce, Canva, Survey Monkey, Claude, Google Forms, and Photoshop is desirable

· Familiarity with nonprofit accounting and governance best practices, and fiduciary responsibilities

Location and Travel

The position is based at BJE’s Los Angeles office. Programs are conducted throughout greater Los Angeles, occasionally in the evenings and on Sundays.

Compensation & Benefits

The salary range for the Business & Special Projects Manager position is $70,500–$85,000, depending on demonstrable knowledge, skills, education, and experience.

Work Environment & Physical Requirements

This in-office role requires the ability to sit, stand, walk, lift necessary items, operate computers and office equipment, and communicate effectively in English. The position involves work in a professional office environment with occasional noise, varying weather exposure during community programs, and interaction in shared facilities.
