SYNAGOGUE ADMINISTRATIVE MANAGER, BETH JACOB SYNAGOGUE

Job Type: Full-Time – Thirty Hours a Week

Overall Vision/Duties

We are looking for a SYNAGOGUE ADMINISTRATIVE MANAGER who can nurture these values in their management of the day to day running of the synagogue. They should be personable, a problem solver, well-organized, detail-oriented and a multi-tasker. The SYNAGOGUE ADMINISTRATIVE MANAGER is a collaborative team-player, providing administrative and logistical support for congregational and educational programs as well as overseeing the synagogue office and house staff. They will work closely with the Rabbi on all matters relating to the overall vision of the synagogue and will report directly to the President of the Board.

PRINCIPAL DUTIES

Membership

· Works together with lay leadership on membership recruitment and growth, integration and retention. Membership engagement is a primary and critical function and communication with congregants a fundamental role.

· Serves as the staff liaison to the Membership/Chesed Committee and attends all Committee meetings.

· Ensures that all new members are welcomed and are provided information on all aspects of synagogue life including religious services, programming and education.

· Responds to members’ concerns in a timely manner.

· Communicates with congregants to encourage their participation in various aspects of synagogue life through volunteering.

· Creates and maintains a database that tracks congregants skills and interests for the development of their programming and committee participation.

· Maintains accurate membership records that contain relevant information.

Administration

· Manages the day to day operations of the congregation’s administrative office and volunteers and ensures that all aspects of synagogue life are supported and coordinated.

· Develops job descriptions, recruits, hires, evaluates and supervises office and house staff and co-ordinates their vacations.

· Provides all necessary support for various staff roles, including the Rabbi’s, and continued assessment of synagogue staff needs.

· Works closely with Bookkeeper to maintain records of employment, assessments, contracts, schedules,card donations and payroll.

· Acts as staff liaison to the Executive Board with respect to managing any employee issues or requests raised by employees.

· Attends and reports on activities at monthly Board meetings.

· Develops, implements and updates office policies and procedures.

· Recommends and implements policies and guidelines for facility use, including life cycle events and serves as liaison, with house staff, to members and non-members using facilities.

· Establishes and maintains effective electronic and hard copy communication processes for the Beth Jacob community.

· Works with the Security Committee to ensure the efficacy of security protocols.

· Works with the House/Building Committee in identifying grants and funding opportunities and obtaining competitive bids for services and contracts including insurance.

· Acts as liaison between House/Building Committee and renters.

· Oversees the scheduling of activities and the synagogue calendar.

· Ensures coordination between Beth Jacob and community calendars.

Programming and Religious Services

· Serves as staff liaison to the Programming Committee and attends all Committee meetings.

· Recruits volunteers to partner with the Programming Committee in creating and implementing programs for the congregation.

· Arranges for logistical support of all synagogue activities including venues, supplies, room set-ups, tracking RSVPs and other supports as needed with the Rabbi, office and house staff and volunteers.

· Provides support as needed with the Hebrew School particularly as it relates to their programming and facility needs.

· Provides administrative support for religious services and festivals.

· Works with the Rabbi and Pulpit and Ritual Committee to coordinate all logistical aspects of High Holiday Services including facility use, parking and security arrangements.

· Responsible for the organization of High Holiday seating, tickets and publicity.

Qualifications and Skills

· Knowledge of computer and web based systems and social media to support administration, events, marketing and membership.

· Excellent written, verbal and listening communication skills.

· Willingness and ability to work a flexible schedule as needed, including occasional nights and weekends.

· Enthusiastic, organized, a self starter, courteous, flexible and a consensus maker.

· Minimum 5 years of experience in a not for profit office management role or equivalent.

· Familiarity with Jewish rituals, customs and holiday celebrations, including Israeli.

· Past experience with other Jewish associations or community groups is preferred.

· Post-secondary education is required.
