Part-Time: 28 hours per week (with occasional additional hours needed in-person in June and December)


The Conference Program Manager oversees all aspects of the subject matter content for the AJS’s annual conference. This will include, among other responsibilities, managing the process by which papers/panels are selected, working with the AJS’s VP of Program and division chairs on various conference related matters, administering the AJS conference travel and childcare grants, and working with members on issue/problems related to the conference. The ideal candidate is someone with demonstrated program management experience who also has knowledge of Jewish Studies and/or academia as a whole.


  • •     Manage Conference Proposal Submission Site
    • •     Request, write and edit annual updates for Call For Papers
    • •     Test and edit conference submission systems
    • •     Assist members in properly submitting proposals
    • •     Assist Division Chairs in reviewing proposals
    • •     Administratively make changes from the Program Committee
    • •     Update system as needed throughout the year
    • •     Send out decision notification letters
    • •     Create reports for Board, Program Committee and Division Chairs regarding submissions and divisions
    • •     Act as primary point person to address issues and connect properly with CRM throughout session submission, review and final decision process
  • •     Work with VP Program, Program Committee and Division Chairs to
    • •     Determine annual division themes and descriptions, administering all 20+ divisions
    • •     Find, support, and train division chairs and program committee members as needed
    • •     Oversee administration of Call for Papers session proposal submissions and review processes, including decisions, confirmations, dismantling sessions, providing chairs and respondents for sessions
    • •     Prepare binders and online files for Program Committee review
    • •     Take Program Committee meeting notes (this occurs typically in person during June and would require onsite presence for 5 days in NYC)
    • •     Work with Director of Events & Operations to draft the schedule of the annual conference sessions

Other tasks include:

  • •     Edit and assist in clarification of language around conference program process, including session submissions, review and decisions, and edit/proof the annual program materials
  • •     Work with Director of Events and Operations to manage travel arrangements and scheduling for program committee meetings
  • •     Manage conference program errata after publication of program’s printed materials
  • •     Recruit and manage on-site conference volunteers
  • •     Work onsite at the annual conference every December for 5 days
  • •     Oversee AJS conference travel and childcare grants including preparing forms; reviewing eligibility; organizing materials for ED to make decisions, communicating with grantees before/ after conference, organizing travel grant receipts and quotes for foundation letters
  • •     Seminars: communications with organizers re deadlines; organize for papers submitted in Dropbox in advance of conference
  • •     Oversee the content on the conference program app management


  • •     3-5 years of program management experience
  • •     BA degree
  • •     Preferably some knowledge of the field of Jewish Studies broadly
  • •     Experience providing a high level of customer service/phone support
  • •     Preferably some experience with a CRM or other database system and/or program management system
  • •     Outstanding organizational, interpersonal, writing, and computer skills
  • •     Sharp eye for detail
  • •     Ability to handle multiple projects and responsibilities in a mainly remote environment
  • •     Familiarity with basic word-processing and finance software (including Microsoft Word and Excel)
  • •     Self-reliance and initiative and interest in innovating new solutions to problems
  • •     Good organizational and time management skills

Salary: $32/hour

Benefits: 403b plan match, paid vacation, sick and personal time, FSA plan option. Flexible 4-day/week remote schedule but working hours should be roughly between 9AM and 6PM EST
