Your Department
The Center for Education Advocacy (CEA) operates at the intersection of Jewish advocacy and educational transformation, working to create inclusive K-12 and higher education spaces that are resilient against antisemitism. The Center focuses on three key areas: higher education and campus affairs, K-12 education and leadership development, and education policy and legislative advocacy. Using research-based approaches and long-term partnerships with administrators, faculty, students, and parents, the CEA develops policies and programs that strengthen both Jewish inclusion and democratic values in American education.
Your Impact
This role strengthens CEA’s ability to execute programs and demonstrate impact by owning key operational and data workflows. The position designs, implements, and continuously improves processes to ensure CEA contacts, activities, and program information are captured consistently, and that core operational activities (events, scheduling, communications, and reporting) run smoothly and on time.
Your Role
Data Support & Reporting (50%)
- Maintain and organize CEA contact, engagement, and program data across approved systems (e.g., HubSpot CRM, Qualtrics, spreadsheets/tools used for intake and tracking), serving as a HubSpot “power user” for CEA by supporting accurate data entry, list hygiene, and consistent use of CRM fields and processes
- Manage ongoing data integrity and quality assurance (e.g., data entry standards, de-duplication, validation checks), and implement routine audits to keep records accurate and consistent
- Design and maintain standardized intake workflows, templates, and documentation (e.g., field definitions and “how we enter data” guidance) and provide orientation/training to support consistent data entry and reporting
- Serve as a HubSpot “power user” for CEA by enabling effective use of the CRM (e.g., building and maintaining lists, supporting basic workflow needs as applicable/approved, partnering with system owners on field/process updates, troubleshooting routine user issues, and documenting/communicating best practices
- Support routine HubSpot operations such as imports/exports (as approved), list segmentation for outreach, and coordinating user access/permissions requests with the system owner
- Prepare recurring reports and draft dashboards/scorecards by compiling lists, counts, and summary tables; identify trends or gaps and flag actionable insights for internal planning and external reporting needs
- Track event attendance and engagement in HubSpot and/or approved trackers and prepare basic post-event summaries (e.g., registrations, attendance, and follow-up lists)
- Develop and assist with survey and data-collection workflows (e.g., compiling responses, tracking distribution, and preparing files for analysis)
- Follow established data practices, including privacy and access expectations, and escalate data issues or questions to the appropriate owner
- Research and recommend improvements to CEA’s data and reporting processes (e.g., new fields, automation opportunities, templates,and quality checks); test changes, document procedures, and support rollout in alignment with AJC standards Coordinate with AJC IT and other internal partners on routine access, troubleshooting, and system support needs
Operations & Event Support (50%)
- Design and implement event operations support for CEA programs (virtual and in-person), including invitations/RSVP tracking, vendor research and coordination, calendars, run-of-show materials, and day-of execution

- Coordinate travel and logistics as needed (e.g., itineraries, reservations, and day-of details) in support of CEA events and meetings
- Develop post-event follow-up workflows and support event debriefs by tracking participation metrics and documenting lessons learned for continuous improvement
- Support scheduling and coordination for Academic Affairs/CEA meetings and events, including calendar management, confirmations, and follow-ups
- Draft, proof, and send routine communications and support inbox management, including responding to basic inquiries and routing items to the appropriate staf
- Prepare agendas, meeting materials, and basic notes/action-item trackers as needed; ensure files are organized and accessible to the team
- Maintain shared team files and operational trackers (e.g., contact/distribution lists, templates, and folders) to support consistent workflows and record-keeping
- Complete timely data entry and list maintenance to support CEA operations (e.g., updating HubSpot CRM records, event attendance, and distribution lists)
- Track deadlines and operational requests, coordinate with internal partners as needed, and escalate risks or issues to the supervisor
- Support purchasing and expense-related tasks as needed (e.g., vendor set-up coordination, purchase/expense documentation, and tracking receipts/invoices in accordance with AJC policies)

Education, Training, and Experience
- Bachelor's degree
- Minimum of 4 years of related experience.

Core Technical Skills (Essential)
- Qualtrics Proficiency (Required): Strong working knowledge including survey logic, distributions, basic analysis, and recurring reporting
- CRM Systems: Experience with HubSpot strongly preferred; Salesforce or similar CRM platforms acceptable
- Data Analysis Tools: Advanced Excel/Google Sheets skills including pivot tables, formulas, and data visualization
- Database Management: Understanding of relational databases, data integration, and migration processes
- Statistical Analysis: Strong foundation in descriptive/inferential statistics and hypothesis testing
- AI: Proficiency in AI and other emerging technologies Core Competencie
- Strategic thinking connecting data insights to organizational advocacy goals
- Project management skills with the ability to manage multiple data projects simultaneously
- Communication skills to present complex data findings to non-technical stakeholders
- Experience working effectively with both technical teams and program staff

Preferred Qualifications
- Advanced education or data analytics certification
- SQL proficiency and experience with data visualization tools (Tableau, Power BI)
- Previous experience with CRM implementations
- Knowledge of grant reporting requirements and compliance data management
- Python/R programming for data analysis

Compensation
The salary for this position is $62,000 - $75,000 depending on relevant experience and location.
