The Event & Office Coordinator serves as a central point of contact for guests and staff, ensuring smooth day-to-day office operations and well-run retreats. This role anchors the Guest Services office, provides warm and professional front-desk support, and coordinates retreat logistics through clear communication and strong attention to detail. The position also supports administrative functions such as inventory management, office supplies, mail distribution, and gift shop coordination, requiring reliability, flexibility, and comfort with basic office technology.
Job Responsibilities:
- Anchor Guest Services office during office hours and retreats
- Facilitate smooth retreats by communicating details with group leaders and Pearlstone staff
- Provide exceptional, warm, friendly guest service at front desk
- Answer and respond to phone calls and emails
- Coordinate logistics and details for retreats
- Manage gift shop orders and inventory
- Pack and mail Pearlstone swag to hubs as needed
- Receive and distribute mail and packages
- Maintain inventory and order office supplies
Helpful prior skills and experience include:

- Flexible and reliable
- Professional appearance
- Proficient and comfortable with computer systems including Excel, Outlook
- Written and oral communication skills
- Must have the ability to get to your shift on time
General:
- Attend weekly department meetings.
- Attend monthly all-staff meetings.
- Must possess a solid work ethic with strong organizational and time-management skills, excellent attention to detail, professional verbal, and written communication skills in English, as well as provide excellent customer service.
- Must maintain a professional demeanor.
- Must be able to adapt to changing situations.
- Other tasks/duties as assigned.
Working Conditions and Schedule:
This is a non-exempt position that is on site with work hours set to Sunday-Thursday. Schedule is set up 1-2 months in advance, but may vary weekly, depending on retreat group needs, within the following:
- Sundays-Thursdays: Work within the hours of 8:30am-4:30pm
- Pay Range: $20-$21 an hour, 20-30 hours/week
