About the Role
Senior Project Coordinator will perform organizational, administrative, and programmatic duties in support of JHub’s programming and marketing efforts. This role reports to the President of JHub and provides support to various teams across the organization.
Event Coordination
- Support the JHub programming teams to ensure exceptional execution of programs, events, and large meetings. Serve as the internal expert for event logistics and management. Arrange conference rooms, catering, presentation materials, and audio/visual setup for programs, events, and large meetings
- Work with venues and vendors to coordinate meetings, convenings, team retreats, and social events
- Schedule large internal and external staff, Board of Directors, and lay leader meetings
Data Management
- Serve as JHub’s Salesforce lead, effectively managing program attendee information, producing lists and reports, and updating content as needed
- Assist internal teams to make most effective use of Salesforce data
Administration
- Oversee key accounting procedures for the organization including cheque requisitions, purchase orders, expense reimbursements, invoice payment, professional development programs, event registration, and credit card processing
- Process payments, and maintain and reconcile department credit card expenses
Board of Directors Support
- Work with President and Board Chair to coordinate all elements of JHub Board of Directors meetings:
- Coordinate advance materials and ensure timely distribution
- Arrange conference rooms, catering, presentation materials, and audio/visual setup as needed for Board meetings. Attend all Board meetings and take meeting minutes.
- Develop and maintain positive relationships with key lay leaders
- Provide necessary documentation to Board members and support their requests where needed
Qualifications:
- Minimum 5 - 7 years of experience providing direct administrative or program support to organizations and executives
- Exceptional organizational skills and attention to detail
- Unflappable with a positive attitude. Ability to meet deadlines, prioritize assignments, and juggle multiple tasks simultaneously
- Must be available to work evenings and weekends, where needed, for events
- Comprehensive knowledge of computer software applications such as Microsoft Word, Excel, and PowerPoint, and ability to learn new technology quickly, is required
- Previous experience with Salesforce or another CRM preferred
- Outstanding planning, written and verbal communication skills are required
- Must be able to work both independently and as an integral member of various teams
- Interest in and enthusiasm for the nonprofit sector and the administrative field
- Commitment to strong performance, high standard of accountability, and openness to feedback
- Must be comfortable working in a fast-paced environment and calm under pressure
- Must have an articulate, diplomatic, and highly responsive communication style
- Must have a solution-oriented approach to conflicts
- Must be highly adaptive to management styles and changing needs, reprioritizing tasks and projects as needed
* This is a full-time permanent position. Union Level 3. As UJA currently operates on a hybrid basis. Please note that UJA’s offices are closed on all Jewish holy days (yom tov) and the Jewish Sabbath (Shabbat).
