Executive Office Assistant

The Museum of Jewish Heritage – A Living Memorial to the Holocaust seeks a detail-oriented, proactive individual to provide essential administrative support and project coordination for the Executive Office, including the President & CEO, Chief Operating Officer, and the Board of Directors. The position is at the center of the Museum’s operations and this position must be ready to engage with all stakeholders at every level of the institution.

Responsibilities:

  • Serve as the main administrative support for the Executive Office, including answering phones, scheduling meetings, filing, drafting memos, preparing briefings, invoicing, greeting guests, and managing lists.
  • Coordinate and book travel, including confirming travel itineraries and creating and documenting travel plans.
  • Manage the day-to-day office needs, including supply inventory of common-use areas.
  • Ensure the Executive Office budgets are efficiently maintained
  • Assist in the preparation and submission of institutional and fiscal reports both internally and externally
  • Maintain and update Board related materials, including confidential communications
  • Correspond with people requesting meetings in ways that communicate respect, care, and discretion
  • Other related tasks as needed

Requirements:

  • Between 1-3 years of full-time administrative experience with a demonstrated interest in museums, cultural, Jewish, or non-profit organizations
  • A positive attitude and an entrepreneurial spirit
  • Exceptional organizational abilities and attention to detail
  • Ability to prioritize tasks and work accurately to meet deadlines
  • Excellent writing and interpersonal communication skills
  • Strong judgment and discretion
  • Complete Notary Public training and certification, sponsored by the Museum
  • Fluency with Office 360 and experience with CRM systems (Raisers Edge or Altru preferred)
  • Ability to work occasional evenings and Sundays.

Position Details:

  • Reports to the Executive Office Manager and Board Liaison
  • Salary compensation range $45,000 – $55,000 with generous benefits
  • The successful candidate will be expected to work onsite. (Limited/ occasional telecommuting arrangements may be considered.)
