POSITION TITLE: Event Coordinator

FLSA: Exempt

DEPARTMENT: Marketing

REPORTS TO: Director of Marketing

LOCATION: Davie, Florida

SALARY: Commensurate with experience

PRINCIPAL FUNCTION: Under the general supervision of the Director of Marketing, the Event Coordinator is responsible for executing high-level, mission focused, efficient and memorable events. Vision, creativity and energy are critical to the success of this position. In addition to exceptional organization skills and a relentless attention to detail, the ideal candidate for Events Coordinator is a dynamic and creative minded event enthusiast that is responsible for facilitating the event planning process with superior customer service skills, a high level of professionalism and willingness to support all planning and administrative details of the event.

Core Responsibilities:

  • Research sites and locations for events and manage RFP process including contract negotiations with agents, featured entertainment, venue locations, caterers and other outside vendors.
  • Provide creative and logistical support to the lead staff person to plan, coordinate, organize and execute all event details in the most professional manner for all Federation events.
  • Define, prioritize, delegate and track events, generate event reports, where needed, and perform post-event follow-up duties and analysis for continuous improvement.
  • Manage the internal events calendar, ensure that all the event related materials are submitted complete and timely by the Federation professionals to the Marketing Department for event support and promotion.
  • Manage the event budgets.
  • Assist with the production and administration tasks within the Marketing Department. Provide logistical support directly and/or indirectly, as needed for events.

· Work collaboratively with professionals across all teams and departments during the planning process and execution of events.

  • Maintain brand identity and consistency through implementation of organization wide standards, procedures and protocols to protect the use of the mission statement, logo, tag line, brand requirements, etc.

· Maintain relationships with vendors and internal committees.

QUALIFICATIONS: Bachelor’s degree required; specialization in Event/Meeting Management or Hospitality Management preferred. Position requires a dynamic professional with vision and experience to manage events. Experience in social media marketing. Excellent written and oral communication skills. Exceptional organization skills with attention to detail, accuracy and budget management. Able to prioritize multiple tasks. Vendor relations experience preferred. Demonstrate flexibility with changing circumstances. Knowledge of and appreciation for the Jewish community, its customs and practices, the Federation and the Jewish nonprofit world is a plus. Strong PC skills and a high comfort level with learning new systems & software programs. Good working knowledge of MS Office Suite and Adobe Creative Cloud. Basic graphic design knowledge (preferred). Must have valid State of Florida driver’s license and proof of automobile insurance.

PHYSICAL REQUIREMENTS: Intermittent standing, walking and sitting with occasional periods of prolonged sitting at computer or in meetings. Must have good visual acuity to be able to use computer and ability to communicate using telephone equipment and in person. Must be available for local travel. Must be able to load and unload equipment, boxes and materials as necessary during the course of activities and events. Position requires stamina to maintain schedule of early morning, evening and weekend meetings and events in addition to the regular work schedule. Must be able to organize, prioritize, delegate and follow through with multiple projects simultaneously while focusing carefully on the details of organizational processes and deadlines as well as directing the work of others.
